The LPHA Program Manager/LPHA Supervisor functions as the on-site liaison between Intake services and other internal agency components as well as outside entities. Primary responsibilities include contributing to the creation/implementation of the clinical workflow in intake, chairing and creating the agenda for the team meeting, providing administrative supervision and oversight of LPHA staff, and coordinating care with the medical team, including psychiatry and MAT services, at HR360 clinics. Ensures that clients meet criteria for admission at our various programs and meet medical necessity. The LPHA PM performs these duties in collaboration with the Intake Supervisor and Intake Director and will report to the Intake Director. Additional duties include assisting staff to achieve and maintain accuracy in multiple EMR systems, ensuring LPHA coverage, and providing or assigning crisis intervention and completing assessment services as needed.
KEY RESPONSIBILITIES
Administrative/Coordinating Responsibilities:Provides liaison between the MH facility staff and other internal agency components and outside entities. Actively manages workloads and assignments to ensure productivity meets agency requirements. The expectation is that each intake LPHA provides several intake assessments daily, including but not limited to residential LOC’s, Mental Health one shots, review boards, and 3.2 Withdrawal Management LOCS, as well as all associated documentation. Maintains the scheduling for assessments on MH Calendar and tracks completion of assessments. Ensures coverage for the facility e.g., assists staff in coordinating time off, ensuring coverage during the holidays, and minimizing gaps in coverage due to required trainings etc. Assists to ensure timely correction of errors for staff relating to multiple EHR systems with a maximum turnaround time of 24 business hours. Fields referrals from outside entities and community partners. Clinical Manager will provide consultation as needed to AODs/LPHAs within the department. Assist with psychological crisis either directly or by assigning other mental health staff as appropriate. Works to improve workflows in collaboration with the Intake Director and Intake Supervisor. Adheres to metrics related to bed flow/utilization and county contract deliverables related to Intake, withdrawal management, and residential programs.
Direct Service and Individual Responsibilities:Conducts assessments, including but not limited to residential LOC’s, Mental Health One Shots, review boards, and 3.2 Withdrawal Management LOCS. As needed, provides crisis intervention with referrals out to crisis support services. Provides support and psychoeducation about health and mental health problems that include screening clients for appropriate levels of services, assessments, and referrals. Maintains confidentiality while working as part of a treatment team and adhering to intake norms. Consults with Residential Program Leadership and staff, participates in county/leadership meetings, coordinates integrated care with medical/MAT Clinic. Attends staff and agency meetings. Participates in agency trainings as required. Complies with Board requirements for license registration/renewal of intake LPHA staff.
Documentation Responsibilities:Completes same-day documentation of all assessments and services in Welligent and Epic. Keeps a tracking log of referrals out to mental health programs, clients who want detox-only services, clients with approved WM extensions, clients that need to be scheduled for res LOC, and status of all authorizations.
People Management:Responsible for providing direct administrative supervision, training, and guidance to the clinical LPHA staff in the department. Ensures all direct reports are in compliance with HR360 policies, procedures, and position expectations and performance goals. Gives ongoing feedback and conducts formal performance evaluations in a timely manner. Conducts staff meetings as needed and ad hoc staff huddles at the start of each shift worked, and delegates staff assignments during each shift. Identifies the direct reports' strengths and weaknesses and strives to develop each direct report to their fullest potential. Delivers and arranges trainings and resources required for direct reports to perform their roles. Provides coaching, support, follow-up, and performance management to direct reports to ensure productivity/client care expectations are met. Supports the director/manager in interviewing, selection, hiring and terminations for positions within the program. Responsible for direct report performance management including performance improvement plans, verbal warnings, and formal written warning notices. Supports the director/manager in terminations of direct reports as needed. Maintains open communication with the director/manager concerning employee matters/needs and seeks consultation when needed. Responsible for scheduling and facilitating team meetings as applicable to support client care and staff development.
QUALIFICATIONS
Education and Experience
Required:
- California licensure as a Psychologist, LMFT, LCSW, or LPCC
- A minimum of 2 years of management or supervisory experience in a behavioral health setting.
- Experience with Welligent/Epic EMR systems
- Experience with Mental Health Medi-Cal procedures
- Supervision experience in a mental health or psychiatric setting with varied populations
- Demonstrated clinical paperwork and record-keeping abilities
- Familiarity with trauma-informed therapy models, cognitive–behavioral therapy, brief psychotherapy, ASAM assessment, and psycho-educational approaches.
- Familiarity with working with psychotic and other severe mental health presentations
- Ability to work as part of an interdisciplinary team
- Clinical experience in performing risk assessment and crisis intervention
Desired:
- 2 years post licensure and able to provide clinical supervision
- Minimum two years of experience providing behavioral health services, preferably in dual diagnosis substance abuse treatment in an inpatient or outpatient community mental health setting
- Clinical experience and understanding of issues related to HIV/AIDS and SUD treatment
