Our client is a leading Canadian full-service law firm with a strong reputation for excellence and innovation. We are supporting their search for an Intellectual Property Assistant to join their Toronto team.
About the Role
- Drafting, preparing, formatting, and revising correspondence, submissions, and office action responses for CIPO, USPTO, WIPO, and other Intellectual Property Offices.
- Filing patent, trademark, and design submissions through various online platforms and coordinating related documentation and fee payments.
- Managing the lawyer's IP prosecution practice, including delegating tasks, monitoring progress, and coordinating deadlines and follow-ups.
- Maintaining and monitoring docket systems, ensuring accurate file information, tracking official and internal deadlines, and generating reports as required.
- Managing electronic and physical IP files, including opening new matters, maintaining client records, organizing documentation, and ensuring files remain current.
- Supporting the lawyer's regulatory practice through drug and patent searches, PM(NOC)-related documentation, and correspondence with Health Canada/OPML.
- Assisting with billing and general administrative functions, including reviewing prebills and invoices, processing expenses and payments, and providing backup support to the broader legal team.
The Offer
- The firm offers a competitive compensation package ranging from $60,000 - $80,000, a hybrid working model, a comprehensive benefits package from day one and a generous vacation allotment.
- 5+ years of Patent Legal Assistant experience within an Intellectual Property practice.
- Legal Assistant diploma
- Strong knowledge of IP law and practices, with the ability to stay current with legislative and procedural changes.
- Exceptional attention to detail, organization, time management, and ability to effectively prioritize competing deadlines.
- Excellent written and verbal communication skills, with a professional and client-focused approach when working with lawyers, clients, and government agencies.
- Proactive, adaptable, and dependable, with a positive attitude and willingness to take on varied responsibilities as needed.
- High level of discretion, confidentiality, and professionalism, with the ability to work both independently and collaboratively with minimal supervision.
- Proficiency with Pattsy, iManage, or comparable docketing and document management systems.
