Job Summary
The Human Resources Administrative Assistant provides clerical support for the Human Resources department and assists with the day-to-day administration of HR programs and processes. This position maintains accurate employee records, supports onboarding and offboarding activities, assists with benefits and leave administration, and provides professional and timely service to employees and managers. The HR Administrative Assistant handles confidential employee information and is expected to maintain a high level of professionalism, accuracy, discretion, and customer service.
Key Responsibilities
General HR Admin Support
- Maintain accurate and confidential employee personnel records and HR files.
- Enter and update employee information in the Human Resources Information System (HRIS).
- Prepare and maintain HR correspondence, checklists, forms, and documents.
- Assist in developing standardized HR procedures and documentation.
- Assist Business Admin Assistants on HR policies, procedures, and HRIS processes.
- Initiate employee status changes
- Track staff licensure compliance
- Process employee tuition reimbursement requests
- First point of contact for employees and delegates to others in the department as needed.
Recruiting Support
- Supports recruiting by scheduling interviews, performing reference checks and drafting offer letters.
- Administer and manage employee background check compliance
- Attend recruiting events and job fairs.
- Support onboarding and orientation activities as needed.
Benefits and Payroll Support
- Provide backup support for HR compliance activities, including but not limited to OSHA, FMLA, Workers’ Compensation, HIPAA, ACA, and unemployment claims.
- Process wage step increases and submit for approval.
- Coordinate bonus requests and submit approvals to the HRD.
- Serve as backup support for payroll processing functions.
Qualifications
Education and Experience
- Associate’s degree in Human Resources, Business Administration, or a related field preferred.
- A minimum of one year of administrative, office, customer service, or HR-related experience
- Strong organizational and administrative skills.
- Attention to detail and accuracy.
- Ability to maintain confidentiality and exercise appropriate judgment.
- Proficiency with Microsoft Office or similar office software.
- Proficiency with HRIS systems and standard office software preferred.
- Ability to communicate effectively, both verbally and in writing.
Working Conditions:
- Full time, primarily Monday through Friday, 8:00am 4:30pm however the position does require flexibility to meet the needs of the corporation.
- This position operates in a professional office environment and routinely uses standard office equipment.
- Travel to the various local facilities within the corporation, local meetings, and educational sessions are required with occasional out-of-the-area and overnight travel may be expected
Physical Requirements:
- Occasionally required to stand, walk, sit, and squat.
- Use arms to reach away from body and hands to finger, handle, or feel objects and controls.
- Routinely talk, hear, and use of vision abilities including close vision.
- Occasionally lift, carry, and move up to 20 pounds.
- May encounter stressful situations.
