Portage Hub Coordinator

Department: Portage Club / Community Programs
Location: Boys & Girls Clubs of Greater Northwest Indiana – Portage Club
Employment Status: Full-Time, Grant-Funded
Schedule:Primarily daytime hours; occasional evenings and weekends for special events and programs

Approved Salary Range:$50k to $60k
Reports To: Senior Director of Development

 

Position Summary

The Portage Hub Coordinator is responsible for the day-to-day coordination and successful operation of the Portage Hub at the Boys & Girls Clubs of Greater Northwest Indiana's Portage Club.

The Portage Hub is a centralized, welcoming community resource designed to connect expecting families and families with children from prenatal through age three with trusted community partners, early learning opportunities, health resources, family support services, educational workshops, and opportunities to build supportive relationships.

The Portage Hub Coordinator will serve as the primary point of coordination for Hub activities, community partners, participating families, and collaborative programs. This position will coordinate partner schedules, facilitate communication among participating organizations, conduct family outreach, maintain participant and program records, coordinate workshops and events, and help ensure that families experience seamless access to the resources and services offered through the Hub.

The position will work closely with Portage Club staff, community partners, volunteers, and the Club's cleaning and maintenance team to ensure the Hub remains welcoming, organized, clean, safe, and ready for families and partner organizations.

This position was created through grant funding. Continued employment and funding for this position are dependent upon the availability and renewal of grant funding and/or the organization's ability to secure other sustainable funding. BGCGNWI intends to explore opportunities to sustain the Portage Hub and the position beyond the initial grant period, with a vision of scaling this project to additional clubs.

 

Essential Responsibilities

Hub Coordination and Operations

  • Coordinate the day-to-day activities and operations of the Portage Hub.
  • Maintain an organized calendar of Hub programming, workshops, partner services, outreach activities, and special events.
  • Coordinate the use of Hub space by community partners and participating organizations.
  • Ensure the Hub is prepared for scheduled programs, workshops, meetings, and family activities.
  • Work collaboratively with Portage Club staff and the cleaning crew to maintain a clean, organized, welcoming, and family-friendly environment.
  • Help ensure Hub materials, resources, supplies, technology, and program areas are ready for use.
  • Assist with the effective use of the Hub's family support areas and the Grub Hub Café/commercial kitchen space when appropriate to Hub programming.
  • Identify operational needs and communicate them to appropriate BGCGNWI staff.

 

Community Partner Coordination

  • Serve as a primary day-to-day contact for Portage Hub community partners.
  • Facilitate communication and coordination among MOU partners.
  • Develop and maintain positive, professional relationships with partner organizations.
  • Coordinate partner-led workshops, screenings, presentations, resource fairs, support groups, and other services.
  • Maintain a current calendar of partner activities and ensure partners have the information and space needed to successfully provide services.
  • Participate in coordination meetings with community partners.
  • Help strengthen referral pathways and communication among Hub partners.
  • Support collaboration with organizations such as HealthLinc, CoAction, Help Me Grow, Mental Health America, Jacob's Ladder Pediatric Rehabilitation Services, Porter County Career and Technical Education, Bonner Senior Center, and other participating community organizations.

The grant identifies partner collaboration as a central component of the Hub, with partners providing services including healthcare access, family support, developmental screenings, mental health and wellness programming, parent education, resource navigation, and workforce or career-related opportunities.

 

Family Outreach and Engagement

  • Conduct outreach to families with children prenatal through age three, including expecting families, postpartum parents, and families with infants and toddlers.
  • Promote Hub programs and available community resources to current BGCGNWI families and families throughout Porter County.
  • Welcome families into the Hub and help them understand available services and resources.
  • Assist families in identifying appropriate community resources and connecting with partner organizations.
  • Help reduce barriers to participation by communicating available resources, schedules, and services clearly.
  • Gather family feedback through surveys, conversations, and other approved methods.
  • Use family feedback to help inform future programming and scheduling.
  • Promote First Things First Porter County resources, including Bundle of Joy, Talking is Teaching, Seeds of Promise, and other applicable family-support initiatives.
  • Assist with social media, e-mail, newsletters, flyers, displays, and other outreach efforts as appropriate.

 

Program and Workshop Coordination

  • Schedule and coordinate educational workshops, family activities, screenings, support groups, and community events.
  • Work with partners to develop a consistent calendar of weekday programming and occasional weekend opportunities.
  • Coordinate family education opportunities related to parenting, child development, literacy, nutrition, health, mental wellness, and school readiness.
  • Support early learning and caregiver engagement opportunities.
  • Coordinate developmental screening and referral opportunities provided by qualified community partners.
  • Support peer networking and caregiver support opportunities designed to reduce isolation and strengthen family connections.
  • Assist with cooking, nutrition, and other activities utilizing the Club’s commercial kitchen and Grub Hub Café when applicable.
  • Ensure programs are appropriately communicated to families and partners.
  • Assist with special events and community engagement activities, including occasional evenings and weekends.

The grant specifically anticipates programming such as developmental screenings, health and mental-health consultations, parent education, early learning, literacy, cooking and nutrition demonstrations, caregiver support groups, and peer networking.

 

Participant Records and Grant Documentation

  • Maintain accurate participant records in accordance with BGCGNWI policies and applicable grant requirements.
  • Track participation, attendance, family engagement, referrals, workshops, events, and partner activities.
  • Maintain appropriate documentation of services and activities provided through the Hub.
  • Assist with collecting data necessary for grant reporting and evaluation.
  • Monitor participation and engagement trends and communicate relevant information to the Senior Director of Development.
  • Collect and organize participant feedback and partner feedback.
  • Support documentation of success stories and program outcomes when appropriate and with required permissions.
  • Maintain confidentiality of participant and family information.

The grant identifies participation data, attendance records, referral tracking, partnership documentation, surveys, and program evaluations as methods for measuring the project's success.

 

Grant Outcomes and Evaluation

  • Assist BGCGNWI in meeting the Portage Hub's grant-related goals and measurable outcomes.
  • Track the number of families participating in Hub activities.
  • Track partner engagement and community events.
  • Track referrals and connections to community, health, and education resources.
  • Assist with measuring awareness and utilization of First Things First resources.
  • Support efforts to increase participation among families who may experience barriers to accessing services.
  • Participate in program evaluation and continuous improvement efforts.
  • Assist with collecting information needed for mid-year and end-of-year grant reporting.

The grant calls for ongoing data collection, evaluation, partner coordination, family outreach, developmental screenings/referrals, and continuous improvement throughout the grant period.

 

Collaboration With Portage Club Staff

The Portage Hub Coordinator will work closely with the Operations team of the  Portage Club team while maintaining the primary focus of the Hub's prenatal-to-three programming.

The position will:

  • Maintain open communication with Portage Club leadership and staff.
  • Coordinate Hub activities around the operational needs of the Portage Club.
  • Work collaboratively with Club staff to create a welcoming environment for families.
  • Coordinate with the cleaning and maintenance team regarding the cleanliness and readiness of Hub spaces.
  • Communicate facility, supply, technology, or maintenance concerns to the appropriate BGCGNWI staff.
  • Support a positive relationship between Hub participants, Club members, Club staff, and community partners.

 

Community Representation

The Portage Hub Coordinator may represent BGCGNWI and the Portage Hub at community meetings, outreach events, partner meetings, resource fairs, and other approved activities.

The position is expected to build strong professional relationships throughout Porter County and help establish the Portage Hub as a trusted resource for families with young children.

Qualifications

Qualifications

Required

  • Bachelor's degree in human services, early childhood education, social work, nonprofit management, community development, education, public health, or a related field.
  • Experience working with families, children, community organizations, nonprofit programs, education, social services, or a related field.
  • Strong organizational and communication skills.
  • Ability to coordinate multiple programs, schedules, partners, and responsibilities simultaneously.
  • Ability to establish and maintain professional relationships with community partners.
  • Ability to maintain accurate records and handle confidential information appropriately.
  • Ability to work independently while also functioning effectively as part of a team.
  • Ability to communicate professionally with families, community partners, staff, and other stakeholders.
  • Proficiency with standard computer programs, e-mail, calendars, and data-entry systems.

Preferred

  • Experience coordinating community partnerships or collaborative programs.
  • Experience working with families of young children.
  • Experience with grant-funded programs and data collection.
  • Experience organizing workshops, community events, or family engagement activities.
  • Knowledge of early childhood development and family support resources.

Work Schedule

This is a full-time position primarily working daytime hours to support the Portage Hub's daytime programming and family engagement activities.

Occasional evening or weekend work may be required for special events, community activities, partner programming, or family engagement opportunities.

Work Location

This position is based at the Boys & Girls Clubs of Greater Northwest Indiana Portage Club and will primarily work within the Portage Hub space. The position may occasionally work off-site for approved community meetings, outreach activities, partner meetings, or events.

 

Supervision

Reports directly to: Senior Director of Development

The Portage Hub Coordinator will also work closely with Portage Club leadership and staff, community partners, MOU partners, and other BGCGNWI departments as needed.

 

Grant-Funded Position

This position was established through the First Things First Porter County – Year 3 grant

Continued employment in this position is dependent upon the availability and renewal of grant funding and/or BGCGNWI's ability to secure alternative funding to sustain the position. BGCGNWI intends to pursue sustainability opportunities for the Portage Hub through continued community partnerships, foundation grants, corporate partners, individual donors, and community-based investments.
