Position Overview- Onsite Position 

The Human Resources Coordinator provides administrative support to the Human Resources department and serves as a front-line resource for employees. This position supports new hire onboarding, pre-employment requirements, employee records, internal communications, employment verifications, license and certification tracking, and other Human Resources processes. The Human Resources Coordinator also assists with front entrance coverage, responds to routine employee questions, and provides administrative support for Human Resources projects, meetings, training initiatives, and departmental activities. This position requires strong organization, attention to detail, customer service, and the ability to maintain confidentiality when handling sensitive employee and organizational information.

Essential Functions

Human Resources Administrative Support:

  • Assists with new hire orientation and onboarding activities including but not limited to:
    • Contacts selected applicants to extend verbal employment offers, communicates offer details, and prepares and distributes formal offer letters.
    • Pre-employment requirements, including background checks, drug screens, CDL Clearinghouse verification, education verification, and other required items.
    • Completes Form I-9 employment eligibility verification and processes E-Verify cases in accordance with established procedures and applicable requirements.
    • Maintains required onboarding and employment eligibility documentation accurately and in a timely manner.
    • Coordinates onboarding materials and assists with new hire paperwork.
  • Maintains employee personnel files and Human Resources documentation, including scanning, filing, and ensuring records are accurate and filed in a timely manner.
  • Provides administrative support for Human Resources projects, meetings, training initiatives, and other departmental activities.
  • Assists with preparing and distributing internal Human Resources communications.
  • Processes employment verification requests.
  • Coordinates and schedules quarterly random drug testing, including notifying selected employees, arranging testing appointments, and ensuring compliance with applicable DOT regulations and organizational policies.
  • Monitors required CDL licenses and certification expiration dates and notifies appropriate leaders of upcoming renewals.
  • Processes and distributes incoming and outgoing departmental mail.
  • Monitors the front entrance and greets employees, applicants, visitors, vendors, and other guests, directing them to the appropriate individual or department.
  • Provides customer service support by responding to employee questions and requests and directing more complex matters to the appropriate Human Resources team member.
  • Performs other Human Resources projects and administrative duties as assigned.

 

Executive and Administrative Support:

  • Communicates with donors to obtain information related to reimbursement arrangements and assists with reconciling donations with donor requests.
  • Provides administrative support for insurance renewals, audits, and other assigned business projects.
  • Coordinates with Donor Resources to obtain required signed agreements from property owners prior to scheduled blood drives.
  • Processes donor benefit claims and provides administrative support with the issuance of donor benefits, as needed.
  • Coordinates Certificates of Insurance (COIs), including obtaining, distributing, and maintaining required documentation.

Minimum Qualifications

  • Bachelor’s degree or a minimum of one year of relevant equivalent experience required.
  • Valid driver’s license with no major infractions and reliable transportation.
  • Ability to communicate effectively, professionally, and courteously with employees, leadership, applicants, and external stakeholders.
  • Strong verbal and written communication skills.
  • Strong organizational and time-management skills, with the ability to prioritize multiple responsibilities and meet established deadlines.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and other standard office applications.
  • Ability to learn and effectively utilize HR systems, internal applications, and office technology.
  • Ability to work effectively in a fast-paced environment and adapt to changing priorities.
  • Strong attention to detail and commitment to accuracy.
  • Ability to exercise discretion and maintain confidentiality when handling sensitive employee and organizational information.
