Job Title: House Manager & Family Assistant

Location: Bainbridge Island, WA 98110

Employment Type: Part-time, 15–20 hours per week

Schedule: Monday, Wednesday, and Friday, between 9:00 AM and 5:00 PM.

Occasional evening and overnight support may be needed.

Compensation: $35–$40 per hour, depending on experience.

Start Date: ASAP

Requirements

  • Maintain a smoke-free environment.
  • Must be authorized to work in the United States.
  • Reliable personal transportation required; mileage reimbursement provided at the standard IRS rate for personal vehicle use on the job. Family vehicle available for occasional child transport.
  • Ability to navigate stairs throughout the workday as part of routine household tasks.
  • Tech-savvy; comfortable managing digital calendars, including Skylight.
  • CPR and First Aid certification is a bonus but not required.

About Our Family

Based on Bainbridge Island, we're a warm, close-knit, active family of four, complete with two children (a 7-year-old boy and a 10-year-old girl), who fill our home with an abundance of love. Both parents are incredibly driven with high-demand careers—one works primarily from home, while the other works out of the home. With frequent work-related travel for both, sometimes for extended periods, and the children’s bustling extracurricular schedule, the rhythm of the home shifts depending on who is home and what’s going on.

We care deeply about a well-run, highly organized home and a healthy environment where our family can flourish. We love fresh, whole foods, traveling together, relaxing at home with a good family-friendly movie, and spaces that feel calm and reset. While we have some systems in place, with two children and a packed, ever-shifting schedule, keeping everything on track has become overwhelming and is impacting our quality time together.

Although we have regular house cleaners, we’re looking for a highly seasoned, proactive house manager who can fill in the gaps in between—starting with creating and maintaining meaningful systems in our home, organizing and folding laundry, supporting meal prep, resetting spaces, and proactively owning and managing the family calendar, so we can focus on what matters most to us: having the time to truly enjoy each other’s company and ensuring our home is a calm, relaxing space where we can recharge.

Who You Are & What We're Looking For

You are a highly detail-oriented, proactive house manager who has seen it all and quickly notices what needs attention—laundry that needs to be folded and organized, meal prep work that needs to be done, school- and sports-related events that need to be added to the family calendar, and spaces that need to be reset—and you handle it seamlessly, without being asked. You are also emotionally intelligent and can easily read the room, using good judgment to know what needs to happen and when.

You understand the importance of communicating clearly, showing up on time, creating meaningful organizational systems that truly hold up, and taking quiet pride in a refreshed, organized household that runs smoothly. You are also professional, warm, and excited to work with school-age children (ages 7 and 10), and you understand how to work respectfully within a family household. Your energy is even-keeled and grounded. You would describe yourself as calm, punctual, and self-directed, with excellent follow-through, whether you’re managing the family’s calendar, remotely supporting vendor coordination for their second property, researching summer camps, or meal prepping for the week.

Our ideal fit naturally anticipates needs (e.g., proactively adds flight confirmations to the family calendar), has calm, positive energy, takes professional boundaries seriously, and has strong time management skills. You can also balance competing priorities with ease, are comfortable managing complex, ever-shifting family schedules, and are able to read cues from the family's rhythms—you know when it’s appropriate to step in or step back. You must have experience working with school-age children and feel aligned with a lifestyle that values health, wellness, and active, intentional living.

Key Responsibilities

Family Support & Child Assistance

  • Monitor and manage school-related apps (Parent Square), sports apps (Game Changer), and Bainbridge Rec Center app, and other communications across multiple platforms, and add all relevant information to the family's shared calendars, including Skylight
  • Proactively identify school closures, camp registration deadlines, and scheduling conflicts, and get them on the calendar well in advance
  • Coordinate summer camp research and enrollment
  • Create and reinforce household systems and routines for the kids — encouraging independence with things like backpack prep, clothing tidying, and clean-up of shared living spaces
  • Handle kid-related errands as needed (school supplies, teacher gifts, activity gear, etc.)
  • Occasional pickup and drop-off support for extracurricular activities
  • Light backup childcare and supervision as needed
  • Coordinate playdates and activity logistics with other families

Meal Planning & Prep

  • Prepare grab-and-go breakfasts and lunches for both parents for the week — simple, healthy options (think Greek yogurt with berries, prepped salads, easy whole-food meals)
  • Light dinner prep for the whole family: chopping, marinating, defrosting, and prepping sauces and ingredients so dinner comes together in 20–30 minutes
  • Family selects recipes; candidate executes and can also suggest options
  • Grocery ordering (family handles pickup)
  • Kitchen cleanup and maintenance; also encourage kids to participate in clearing dishes and light kitchen tasks

Laundry & Linen Care

  • Fold and organize laundry for the full household (family handles washing and drying)
  • Linen rotation for the kids: bedding and towels
  • Occasional ironing, steaming, and care for special garments

Household Management & Organization

  • Daily resets to keep the home tidy — dishes, surfaces, high-traffic areas
  • Prep home before scheduled cleaning visits
  • Create and maintain household organization systems
  • Seasonal clothing swaps, including kids' outgrown items
  • Coordinate donation drop-offs as needed
  • Indoor plant care
  • Occasional event, holiday, and guest prep

Inventory & Errands

  • Restock pantry, fridge, and household supplies
  • Manage ongoing supply lists as needed
  • Manage household orders and subscriptions (Amazon, Costco, Target, etc.)
  • Handle returns, dry cleaning, gift shopping, mail, and package breakdown

Deep Cleaning & Special Projects

  • Occasional deep cleans: fridge, oven, baseboards, and similar areas
  • Mudroom and entry refresh
  • Quarterly organizational projects for kids' clothing, toys, and gear

Vehicle Management

  • Track vehicle registration, insurance, and maintenance schedules on the family calendar
  • Occasional fueling, cleaning, and organizing of family vehicles

Packing & Travel Support

  • Packing and unpacking support for family travel, approximately every two months — primarily focused on the kids (clothing, toiletry bags, tablets, snacks, travel checklists, with the goal of supporting and building kids' independence through the process)

Property Oversight (Oahu Rental)

  • Remote support every 2–3 months: respond to tenant communications, coordinate vendors and service providers from an established go-to list, and manage logistics around occasional property needs (repairs, post-weather events, etc.)

Administrative & Calendar Management

  • Manage the family's Skylight calendar and sync relevant items to parents' work calendars
  • Proactively look ahead each week to flag busy or overlapping stretches
  • Add appointment reminders and scheduling to-dos (e.g., "call to schedule well-child visit") directly to the calendar
  • Occasional travel planning and logistics support
