Front Desk Receptionist – Day Habilitation Program

 

 

Shift: Monday through Friday, 8:00 am - 4:00 pm (subject to change)

 

 

Eihab Human Services is seeking a professional, organized, and dependable Front Desk Receptionist to support the daily operations of its Day Habilitation program in Howell, New Jersey. The receptionist serves as the first point of contact for participants, families, visitors, employees, and outside professionals while providing essential administrative, communication, and organizational support.

 

 

The successful candidate will demonstrate excellent customer service, strong communication and computer skills, attention to detail, and the ability to maintain confidentiality. The receptionist must be committed to promoting a welcoming, respectful, and safe environment for individuals with intellectual and developmental disabilities while supporting the efficient operation of the program.

 

 

  • Serve as the first point of contact for visitors, participants, families, employees, vendors, and other professionals.
  • Greet visitors and respond to inquiries in a professional, courteous, and welcoming manner.
  • Assist with administrative coordination of participant arrivals and departures in accordance with established program procedures.
  • Schedule meetings, maintain calendars, and assist with general office coordination as needed.
  • Maintain accurate attendance records, sign-in/sign-out logs, and other required documentation.
  • Verify authorized individuals when coordinating participant pick-up and departure, following agency policies.
  • Protect participant privacy and avoid disclosing attendance, schedules, personal information, or other confidential details to unauthorized individuals.
  • Provide general administrative support to the Program Director, supervisors, DSPs, and other designated personnel.
  • Handle paper and electronic records in accordance with applicable privacy requirements, including HIPAA where applicable, and agency confidentiality policies.
  • Complete required agency training and participate in meetings or administrative training as assigned.
  • Maintain professional boundaries and demonstrate respect for the dignity, rights, independence, and individuality of all participants.
  • Perform other related administrative duties as assigned by the Program Director or supervisor.

Qualifications

  • High school diploma or equivalent (GED).
  • Previous experience in reception, administrative support, customer service, or an office environment preferred.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook, and the ability to learn agency-specific electronic systems.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks and competing priorities.
  • Ability to maintain confidentiality and handle sensitive participant and employee information appropriately.
  • Professional demeanor and the ability to communicate effectively with participants, families, employees, visitors, and outside agencies.
  • Ability to follow established policies, procedures, instructions, and documentation requirements.
  • Dependability, punctuality, sound judgment, and a strong commitment to professionalism.
  • Ability to work collaboratively with a multidisciplinary team and respond appropriately to changing program needs.
  • Familiarity with individuals with intellectual and developmental disabilities and an understanding of person-centered care.
  • Experience maintaining attendance records, participant files, visitor logs, and other confidential documentation.
  • Familiarity with HIPAA and other applicable confidentiality and privacy requirements.
  • Experience communicating with families, transportation providers, support coordinators, and direct care staff.
