Job Summary
Ready to create meaningful volunteer experiences while helping provide reliable service to people facing food insecurity? As the Volunteer Coordinator, you will coordinate daily volunteer operations, training, scheduling and engagement at the Food & Resource Center. You will prepare volunteers for effective service, maintain shift coverage, resolve concerns, document procedures, support food safety compliance, assist with recruitment and help maintain a practical job training program. What success looks like in the first 6–12 months includes well-prepared volunteers, dependable shift coverage, clear procedures, safe practices, increased volunteer retention and respectful, consistent service for clients.
A Day in the Life
The essential functions described below represent the primary responsibilities of this role and may be performed with or without reasonable accommodation.
Supervision and Training:
- Oversee and train volunteers so they understand assigned tasks and complete work safely and accurately.
- Improve shift effectiveness by monitoring workflow and adjusting assignments to keep daily services moving.
- Give volunteers necessary information and resources so they can complete tasks accurately and assist clients respectfully.
Volunteer Coordination:
- Organize volunteer schedules to match available people with daily service needs.
- Ensure proper coverage during open hours so clients receive timely and consistent service.
- Ensure volunteers are prepared, trained and ready to assist clients safely, respectfully and accurately.
- Address and resolve volunteer concerns promptly to maintain clear expectations and dependable operations.
Compliance and Standard Operating Procedures (SOPs) Development:
- Serve as the contact for all AIB inspections and compliance requirements to maintain required food safety standards.
- Create and document SOPs for each volunteer task so instructions remain clear, consistent and accessible.
- Clarify volunteer roles and job descriptions so each person understands responsibilities, boundaries and expectations.
Volunteer Engagement:
- Create a welcoming environment where volunteers receive clear direction and respectful treatment.
- Create positive volunteer experiences that encourage consistent participation and dependable service.
- Encourage volunteers to return, increasing retention and maintaining reliable coverage for center operations.
- Establish and maintain an improved volunteer experience by addressing practical needs and removing preventable barriers.
Warehouse Job Training Program:
- Help establish and maintain the Food & Resource Center job training program so trainees gain practical workplace experience.
- Help trainees develop skills that improve access to better employment opportunities and livable-wage work.
Volunteer Recruitment:
- Assist recruitment efforts to attract new volunteers and expand the center’s capacity to serve people facing food insecurity.
- Develop and implement social media strategies to increase brand awareness and engagement.
- Create, curate and manage published content across various social media platforms.
- Collaborate with cross-functional teams to design and execute promotional initiatives.
- Engage with followers, responding to comments and messages to foster community relationships.

Required Qualifications
How you have spent your time:
- High school diploma or equivalent required
- At least one year of experience coordinating, training or scheduling volunteers, employees or program participants.
- Experience providing clear instructions, addressing routine concerns and documenting work procedures.
- Ability to organize schedules, adjust assignments and maintain service coverage based on operational needs.
- Ability to communicate clearly and respectfully with volunteers, trainees, clients and coworkers.
Other Requirements:
- Proficiency in common office applications, including email, messaging, word processing and spreadsheets, and job-specific systems, including inventory systems.
- Valid driver’s license with a driving record that meets organizational standards.
- Ability to learn and adapt to new technologies.
- Ability to complete a background check, motor vehicle record review, drug screening and physical assessment as required for the role.
- Ability to complete required ServSafe and AIB-related training within organizational timelines.
Safety Sensitive Designation
This position is classified as Safety Sensitive under Oklahoma law. Employees in safety sensitive roles perform duties where even a momentary lapse in concentration could result in injury to themselves, others or cause environmental harm. The Regional Food Bank of Oklahoma is not permitted to hire applicants who hold a medical marijuana card for safety sensitive positions, in compliance with state law.
Preferred Qualifications
How you have spent your time:
- Experience communicating with clients or volunteers in both English and Spanish.
- Current forklift certification or experience operating powered industrial equipment in a warehouse setting.
- Familiarity with food distribution, inventory practices or community-based service operations.
- Exposure to food safety inspections, volunteer retention efforts or workforce training programs.
Physical & Environmental Expectations
This role involves maintaining a stationary position for extended periods in office, field or vehicle settings, safely operating vehicles and completing tasks requiring coordinated movement and fine motor activity. Employees may occasionally move objects weighing up to 20 pounds and frequently move objects weighing up to 10 pounds using appropriate techniques or mechanical aids. The work requires changing positions, accessing vehicles or limited spaces, responding to safety signals and spoken instructions, communicating in environments with background noise and maintaining concentration for extended periods. Personal Protective Equipment may be required. Work may occur in indoor or outdoor industrial environments with exposure to changing temperatures, weather, dust, chemicals, gases, fumes, smoke, noise and vibrations. Regular travel is not required, though occasional trips, rotating on-call participation or work outside the regular schedule may be necessary based on operational needs. All hours worked will be recorded and compensated in compliance with applicable wage and hour laws.
