The Role

TheFinancial Services Representative (FSR) is a key member of our patient support team, responsible for managing insurance benefits, pre-authorizations, and financial clearances for patients undergoing fertility treatments. Working closely with clinical staff, insurance providers, and our Central Billing Office, you'll ensure patients have a clear understanding of their financial options so they can focus on what matters most. We welcomefull-timecandidates who bring dedication, attention to detail, and a genuine commitment to patient care.

What You'll Do

• Manage pre-certifications for fertility treatments and procedures, including IUI, IVF, TESE, MESA, FET, embryo biopsy, donor embryo cases, and gestational carriers.
• Verify insurance benefits and communicate coverage details and self-pay options clearly to patients.
• Obtain authorizations for diagnostic tests such as HSG, sonohysterograms, semen analysis, MRIs, ultrasounds, and endometrial biopsies.
• Provide financial counseling to patients, including discussion of treatment costs, co-pays, and payment plan options.
• Communicate financial clearance status to clinical staff via Athena and ReSource systems.
• Monitor patient accounts for billing accuracy and follow up on outstanding balances in a timely manner.
• Schedule and pre-certify surgical procedures, coordinating all pre- and post-operative visits with surgical centers and insurers.
• Partner with the Central Billing Office to resolve authorization issues and process refunds.
• Maintain accurate patient consents and financial documentation in compliance with HIPAA standards.
• Support onboarding and training of new FSR team members as needed.

What We're Looking For

• 1–2 years of experience in healthcare insurance, medical billing, or financial services within a provider setting.
• Strong understanding of medical insurance processes, pre-authorization workflows, and patient financial counseling.
• Proficiency in CPT and ICD-10 coding.
• Experience with electronic medical records (EMR) and medical billing software.
• Excellent communication and customer service skills, with the ability to explain financial obligations clearly and compassionately.
• Strong organizational skills and meticulous attention to detail.

Schedule

This position is full-time with standard 8:00am-4:30pm hours follow a Monday–Friday day, with occasional weekend needs. The role is based on-site in Pensacola, FL.
