Position Summary
The Procurement Analyst supports procurement, project, and financial governance activities by gathering, validating, maintaining, and tracking project and financial information within SharePoint-based intake and tracking systems. This role partners closely with Project Managers, Project Coordinators, Controllers, Procurement, Financial Management, vendors, and business stakeholders to ensure information is complete, accurate, and processed in a timely manner.
Working within a fast-paced and collaborative environment, the Procurement Analyst plays a critical role in maintaining data integrity, supporting procurement workflows, ensuring process compliance, and improving operational efficiency. While the work is highly administrative and detail-oriented, it is essential to the success of procurement and financial management processes across the organization.
Key Responsibilities
Procurement & Financial Data Management
- Gather project, procurement, and financial information from Project Managers, Project Coordinators, Controllers, vendors, and business stakeholders.
- Enter, update, and maintain project and procurement information within SharePoint and related tracking systems.
- Review and validate submissions for completeness, accuracy, and compliance with established standards and processes.
- Identify missing, incomplete, or inconsistent information and coordinate with stakeholders to resolve issues.
- Maintain records, supporting documentation, and audit-ready files in accordance with governance requirements.
Procurement Intake & Workflow Support
- Review incoming procurement requests and project submissions through SharePoint and intake tools.
- Support procurement request intake activities and workflow execution.
- Monitor request status and follow up with stakeholders to ensure timely completion of required actions.
- Assist in coordinating approvals, documentation, and information gathering to support procurement processes.
Stakeholder Coordination
- Serve as a primary point of contact for project teams regarding procurement intake and data requirements.
- Communicate clearly and professionally with stakeholders to resolve questions, clarify requirements, and ensure requests move forward efficiently.
- Build strong working relationships across project, procurement, finance, and business teams.
- Support Project Managers, Project Coordinators, Controllers, and Financial Management staff by helping maintain accurate project information and reducing administrative burden.
Data Quality & Continuous Improvement
- Perform periodic reviews of data entered into SharePoint and related systems.
- Track, investigate, and resolve data discrepancies.
- Support reporting, auditing, and governance activities through accurate data maintenance.
- Identify opportunities to improve data quality, process consistency, and operational efficiency.
- Assist with process documentation and continuous improvement initiatives.
Reporting & Administrative Support
- Support the preparation and maintenance of procurement and project tracking reports.
- Compile and validate data for leadership, procurement, controllers, and financial management teams.
- Maintain organized records and documentation related to procurement and project activities.
- Participate in meetings with project teams and business partners to discuss upcoming work, priorities, and process questions.
Typical Day
A typical day may include:
- Reviewing incoming procurement requests and project submissions.
- Gathering project and financial information from stakeholders.
- Updating SharePoint lists, forms, and tracking tools.
- Validating requests and supporting documentation for accuracy and completeness.
- Following up on missing information or approvals.
- Assisting with reporting and data quality reviews.
- Participating in team and stakeholder meetings.
- Supporting ongoing process improvement efforts.
Required Qualifications
- 2-5 years of experience in procurement support, project coordination, financial administration, data management, or a related operational role.
- Experience maintaining large volumes of information with a high degree of accuracy.
- Experience working with SharePoint, Excel, and Microsoft Office applications.
- Strong attention to detail and commitment to data quality.
- Strong organizational and time-management skills.
- Ability to manage multiple priorities and deadlines simultaneously.
- Strong written and verbal communication skills.
- Ability to work effectively across multiple teams and stakeholder groups.
- Customer-service mindset with the ability to proactively follow through on requests.
- Strong problem-solving skills and ability to independently identify and resolve discrepancies.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Finance, Accounting, Project Management, or a related field, or equivalent work experience.
- Experience supporting procurement, sourcing, project management, or financial management processes.
- Experience working in a utility, construction, engineering, technology, or project-based environment.
- SAP familiarity or experience with procurement and financial systems.
- Experience supporting project teams, procurement functions, or financial operations.
