Facilities Project ManagerĀ 

Purpose:

Under the supervision of the Senior Director of Facilities, the Facilities Project Manager is responsible for planning, coordinating, and executing capital facility projects. This role serves as the department representative in the planning, development, modernization, and restoration of facilities; ensures projects are completed efficiently and in accordance with regulatory guidelines, approved budgets, and established timelines; and oversees the performance of assigned contractors. The position includes both office-based project planning and on-site supervision, requiring travel to project locations for bidding activities, inspections, and meetings with contractors and stakeholders. The Facilities Project Manager supports operational systems that promote safe, efficient, and well-maintained Lakemary Center facilities.

Key Responsibilities:

Project Planning and Coordination: Develop project scopes, budgets, and schedules, and coordinate with architects, engineers, and contractors.

Budget and Resource Management: Monitor project budgets, prepare change orders, and allocate resources effectively.

Construction and Maintenance Oversight: Supervise construction, remodeling, and repair projects while ensuring compliance with building codes, safety regulations, and organizational standards.

Contractor Management: Conduct pre-bid meetings, coordinate contractor activities, and manage project communications.

Technology Integration: Utilize project management software, including ClickMaint, Monday.com, Ajera and Smartsheet, and support the implementation of smart building technologies to improve efficiency and occupant experience.

Reporting and Documentation: Maintain accurate project records, track progress, and provide timely reports to senior management.

Procurement: Inventory and order supplies, equipment, and materials for projects, including identifying appropriate materials, locating vendors, and providing input into budget requests for assigned areas.

Required Knowledge, Skills and Qualifications

  • Project Management Expertise: Knowledge of project management principles, construction procedures, and facilities operations.
  • Technical Skills: Understanding of HVAC, electrical, plumbing, and building systems, along with proficiency in project management software.
  • Leadership and Communication: Ability to lead teams, negotiate with contractors, and coordinate effectively across departments.
  • Certifications: Project Management Professional (PMP) certification preferred.
  • Physical and Travel Requirements: Ability to participate in on-site bidding processes and inspections, occasionally under challenging conditions, and travel to project sites as needed.
  • Demonstrate a high degree of attention to detail and the ability to succeed in a fast-paced, deadline-driven work environment.
  • Possess strong mathematical skills and the ability to verify bids for accuracy.
  • Demonstrate proficiency inĀ MicrosoftĀ Excel, Word, Access, and Outlook.

  • Use job-related equipment and operate a vehicle to perform work duties and visit project sites.
  • Analyze data using defined processes and operate equipment in accordance with standardized methods.

  • Analyze issues and develop organized action plans through effective problem-solving, often requiring independent interpretation of guidelines.
  • Meet deadlines and schedules while managing frequent interruptions and changing priorities.
  • Maintain confidentiality and facilitate communication among individuals or groups with differing perspectives.
  • Work effectively with minimal supervision.

Education and Experience:

Equivalent to a bachelor’s degree from an accredited college or university with major coursework in engineering, architecture, planning, construction management, business with an emphasis in planning, or a related field is desired.

Two to three years of experience as a project coordinator, assistant project manager, or engineer for a construction or service company, subcontractor, or property management firm is preferred.
