Facilities Coordinator- JLL
What this job involves:
As a Facilities Coordinator at JLL, you'll play a pivotal role in creating exceptional workplace experiences across multiple locations by blending facilities management expertise with hospitality-driven service. Reporting to the Senior Facilities Manager, you'll oversee the effective operation, maintenance, and improvement of all facility systems while serving as the primary front-of-house presence for employees, visitors, and vendors. This dynamic position combines concierge services, security coordination, and facilities oversight to ensure safe, secure, and well-managed office environments. We believe the most effective teams are built when everyone is empowered to thrive, and in this role, you'll be essential in creating spaces where people can do their best work. You'll manage everything from front desk operations and access control to maintenance coordination and emergency response, working collaboratively with internal teams, building management, and service providers. Your ability to balance warm hospitality with technical facility knowledge will ensure our workplaces operate efficiently, effectively, and in full compliance with all relevant regulations and standards.
What your day-to-day will look like:
• Serve as the welcoming front-of-house presence, managing visitor check-in systems (such as Envoy), badge issuance, and delivering professional concierge services while providing guidance on workplace amenities and policies
• Oversee access control systems by issuing and managing employee and visitor badges, monitoring security permissions, and escalating irregularities or alarms to Global Security Operations Center (GSOC)
• Manage daily operations of building systems including HVAC, plumbing, electrical, safety, and security equipment, while overseeing routine preventative maintenance schedules and coordinating emergency repairs
• Conduct regular facility inspections and office patrols to identify safety hazards, unsecured areas, or maintenance needs, addressing deficiencies promptly and documenting findings
• Act as the on-site lead during incidents including medical emergencies, safety events, and evacuations, while supporting emergency preparedness activities, drills, and audits
• Coordinate vendor and contractor access, submit and track maintenance service requests, and interface with building management and service providers to ensure seamless facility operations
• Lead facility-related projects such as refurbishments, fit-outs, relocations, and capital improvements from inception to completion, ensuring delivery on time, within scope, and budget
Required qualifications:
• HS diploma or GED
• 2+ years of experience in facilities coordination, workplace services, or similar administrative role with strong customer service orientation
• Solid understanding of facilities management principles, building systems, maintenance practices, and safety and code compliance requirements
• Excellent communication and interpersonal abilities with demonstrated skill in managing multiple priorities simultaneously and working effectively under pressure
• Strong vendor management and coordination experience with ability to interface professionally with internal teams, contractors, and service providers
• Proficiency with Microsoft Office Suite and ability to learn facilities management software and access control systems
• Detail-oriented approach with strong problem-solving skills and ability to respond calmly during emergency situations and incidents
Preferred qualifications:
• Bachelor's degree in Engineering, Facilities Management, Project Management, Construction Management, Business Administration, or related field
• Experience with facilities and project management software tools such as CAFM (Computer-Aided Facility Management), CMMS (Computerized Maintenance Management Systems), or MS Project
• Background in security coordination, access control administration, or emergency response procedures
• Budgeting and financial tracking experience including monitoring spending, forecasting needs, and reporting on variances
• Knowledge of OSHA safety standards, building codes, and environmental regulations
