Facilities Coordinator (FC)Â
Overall RoleÂ
The Facilities Coordinator (FC) will be part of the Facilities Management team and support workplace operations across Shinagawa HQ, Osaka, Sagamihara, Tokyo, and Sapporo offices. This role oversees the Service Desk team and Mail Room operations in Shinagawa HQ, Osaka, and Sagamihara, while also providing remote support to other office locations.Â
This role requires excellent organizational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate demonstrates a customer-focused mindset, proactive problem-solving ability, hospitality-oriented service, vendor management capability, and operational flexibility.Â
Duties & ResponsibilitiesÂ
What this job involvesÂ
Supervise and Support Service Desk TeamÂ
- Support daily Service Desk operations and maintain high service standardsÂ
- Coordinate internal requests and ensure timely follow-up and resolutionÂ
- Provide operational support and guidance to team members as neededÂ
Administrative SupportÂ
- Raise POs, manage payment processes and due date tracking, and support budget management in SAP.Â
- Order and replenish office supplies and business cardsÂ
- Conduct daily office inspectionsÂ
- Manage coffee machines and tea dispensersÂ
- Support receptionist-related services and workplace operationsÂ
Security ManagementÂ
- Manage security badges and building access cardsÂ
- Coordinate with building management and security teams when necessaryÂ
Mail room supportÂ
- Provide comprehensive support for Mail Room operations to ensure timely and efficient serviceÂ
- Maintain shipment and delivery data management recordsÂ
- Coordinate with courier vendors and manage vendor relationshipsÂ
Vendor ManagementÂ
- Manage vendor relationships and monitor service qualityÂ
- Deliver concierge-style support with local expertise and hospitalityÂ
- Coordinate transportation requests for visitors and employeesÂ
Work Order Management (Corrigo)Â
- Receive and process incoming work order requestsÂ
- Track and follow up on facilities-related ticketsÂ
- Process vendor invoices associated with work ordersÂ
Facilities ManagementÂ
- Manage office assets across supported locationsÂ
- Participate in facilities-related projects, including after-hours or weekend work when requiredÂ
- Serve as primary point of contact for facilities-related inquiries and requestsÂ
Support to Assistant Facilities ManagerÂ
- Perform tasks assigned by the Assistant Facilities ManagerÂ
- Act as backup for the Assistant Facilities Manager during absencesÂ
- Support local stakeholders on IFM-related follow-upsÂ
Candidate SpecificationÂ
ExperienceÂ
- Minimum 3 years of experience in General Affairs (GA) and/or Facilities ManagementÂ
- Diploma or degree from an accredited institutionÂ
Technical SkillsÂ
- Proficiency in Microsoft Word, Excel, and PowerPointÂ
- Experience with SAP and facilities/work order management systems is preferredÂ
- Strong prioritization and time management skillsÂ
Personal SkillsÂ
- Ability to work under tight schedules while maintaining high-quality outputÂ
- Strong communication skills in both Japanese and EnglishÂ
- Professional, approachable, and service-oriented personalityÂ
- Strong teamwork and stakeholder management skillsÂ
- Flexible and proactive attitude toward workplace support operationsÂ
