The Fabrication Project Manager seamlessly directs personnel, schedules, finances, suppliers, and materials while maintaining clear communication across internal departments and external partners. Key Responsibilities:
- Collaborate with the Fabrication Manager (FM) to process incoming RFPs, organize information, and identify missing details from the team.
- Lead project planning efforts, including budgeting (research and sourcing), timeline development, and client-facing presentations.
- Act as the primary liaison with clients regarding budget parameters, project updates, and progress milestones.
- Manage internal and external communication flow, sharing critical updates on deadlines, progress photos, and print files.
- Maintain project visibility through the job board, supporting the Fabrication Manager with workflow planning and prioritization.Β
- Maintain rigorous quality control throughout the fabrication process and handle material sourcing.
- Coordinate third-party scheduling, orders, and logistics for installations and setups.
- Negotiate with vendors to find savings and program efficiencies.
- Proactively identify project risks, scheduling conflicts, cost concerns, and production challenges and drive practical solutions.
- Maintain accurate project documentation, including timelines, approvals, costs, labor hours, print files, and progress documentation.
- Participate in project and production meetings and ensure clear communication, accountability, and follow-through across teams.
- Manage expectations and communications with account and project managers, providing timely updates on assigned project responsibilities and deliverables.Β
- Travel to event and installation sites as needed to support execution, troubleshooting, and successful project delivery.
- Identify opportunities to improve fabrication workflows, vendor relationships, cost efficiencies, and overall operations.
Required Skills & Experience:
- Strong understanding of fabrication materials, construction methods, production processes, and installation requirements.
- Experience managing complex projects involving multiple stakeholders, timelines, budgets, and deliverables.
- Strong organizational and project-management skills with exceptional attention to detail.
- Experience with project budgeting, estimating, sourcing, labor tracking, and cost reconciliation.
- Excellent written and verbal communication skills with the ability to work effectively with clients, vendors, and cross-functional teams.
- Ability to interpret creative concepts, drawings, specifications, and production requirements.
- Ability to manage multiple priorities and adapt quickly in a fast-paced, deadline-driven environment.
- Willingness to travel and work extended or nontraditional hours when project schedules require.
- Proactive, self-motivated, and comfortable taking ownership.
- Sound judgment with the ability to anticipate challenges and make practical decisions.
- Adaptable and resilient when priorities, schedules, or project requirements change.
- Open to feedback and committed to high standards, accountability, and quality.
- Experience in experiential marketing, scenic fabrication, custom builds, events, or a related environment preferred.
