Shifts:
- 2 openings: 9:00 AM β 6:00 PM
- 1 opening: 11:00 AM β 8:00 PM
Job Description
We are seeking an experiencedExecutive Assistant to provide high-level administrative support to an executive and their team. This role requires excellent organizational skills, discretion, initiative, and sound judgment when handling confidential information.
The Executive Assistant will be responsible for a variety of administrative functions, including preparing reports and correspondence, conducting research, managing information requests, coordinating meetings and conference calls, arranging travel, and providing general administrative support.
The ideal candidate will be comfortable working in afast-paced, highly matrixed environment and interacting professionally with employees and senior leadership at all levels. Strong communication skills, flexibility, resourcefulness, and the ability to work independently with minimal supervision are essential.
Responsibilities
- Provide high-level administrative and executive support to leadership and their team
- Manage complex calendars and coordinate meetings and appointments
- Arrange conference calls, meetings, and travel
- Prepare correspondence, reports, presentations, and other documents
- Conduct research and gather information as needed
- Handle confidential and sensitive information with discretion
- Respond to information requests and coordinate follow-up activities
- Assist with expenses, scheduling, filing, and general office procedures
- Interact professionally with employees and senior management at all levels
- Develop strong working relationships within a highly matrixed organization
- Adapt processes and procedures as needed to support department goals
- Manage multiple priorities while maintaining accuracy and attention to detail
- Work independently and exercise sound judgment when handling administrative matters
Qualifications
- 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role
- High school diploma or GED required; Bachelor's degree preferred
- Strong calendar management experience
- Excellent organizational and multitasking skills
- Ability to work effectively in a fast-paced environment
- Adaptable, proactive, and resourceful team player
- Strong problem-solving and decision-making skills
- Advanced working knowledge ofMicrosoft Word, Excel, and PowerPoint
- Experience with table creation, mail merges, basic formatting, and document preparation
- Knowledge of general office procedures, including filing, correspondence, scheduling, expenses, and calendar management
- Excellent interpersonal and communication skills
- Professional telephone etiquette
- Strong judgment and discretion when handling confidential information
- Demonstrated experience supporting and interacting with senior management
- Ability to work independently with minimal supervision
