Summary
We are seeking a dependable, energetic, and hands-on Event Operations Assistant to support the execution of a large and diverse portfolio of events. This is an entry-level position offering an opportunity to gain experience in event operations, logistics, and coordination while working closely with all departments across the organization.
This role is ideal for someone who enjoys being active, working with people, and helping bring events to life from set up through breakdown. Responsibilities include preparing materials, transporting equipment, managing inventory, supporting on-site operations, and assisting with event coordination before and after events.
This is not a remote position or a standard 9-to-5 role. The Event Operations Assistant will work both in the office and at event locations. Many events take place outside regular business hours, including early mornings, evenings, and weekends. Flexibility and availability during these times are essential.
The role is physically demanding and requires lifting, carrying, loading, unloading, setting up, and breaking down event materials and equipment. Event days can be fast paced, require long hours, and involve adapting to changing priorities and last-minute needs.
The ideal candidate is reliable, resourceful, and willing to jump in wherever needed. Experience in hospitality, restaurants, catering, customer service, retail, tourism, or events is highly valued, as success in this role requires a strong service mindset and the ability to remain professional in busy environments.

- Pack, load, transport, unload, set up, maintain, and break down event equipment and materials, including tents, tables, signage, banners, displays, booths, promotional materials, giveaways, and supplies.

- Assist with community events, sponsorship activations, grand openings, conferences, client events, team members programs, meetings, and other special events.
- Respond to operational needs and help resolve issues to ensure successful event execution.
Event Coordination & Administrative Support:
- Assist with event planning and coordination from initial planning through post-event follow-up.
- Coordinate event details including venues, catering, entertainment, transportation, décor, promotional materials, and vendor communications.

- Prepare and process event-related documents, purchase orders, invoices, permits, and reports.
- Help ensure events comply with insurance, legal, health, and safety requirements.
- Respond to emails, maintain event records, and support administrative needs of the Events team.
- Build and maintain relationships with colleagues, vendors, venues, clients, and community partners.
