We’re hiring an Event Center Coordinator Intern to help make TAC events shine! On-site in Austin. Hands-on room setups, catering support, and day-of event operations. Part-time, paid hourly. Avg 30 hrs/week for 6 months. No benefits offered. 

Position Overview 
The Texas Association of Counties seeks a highly motivated individual interested in gaining firsthand experience in meeting and event operations. This position supports the TAC Event Center team in ensuring meetings and events run smoothly from setup through breakdown across 13 meeting and event spaces located throughout the TAC building. The intern provides hands-on support with room setups and resets, signage, catering setup and cleanup, meeting room readiness, inventory, supplies, and onsite event support.

This is a highly active, service-oriented temporary role requiring strong communication, physical stamina, and a proactive “find a way” mindset.

This temporary position is the behind-the-scenes driver of success before, during, and after each meeting/event.

Essential Job Functions

  1.  Assist the Event Center team in coordinating, scheduling, room setups, signage, AV needs and ADA accommodations.
  2. Provide real-time onsite support during meetings and events, troubleshooting issues and ensure a smooth experience for guests.
  3. Use scheduling software to review meeting schedules and prepare for day-to-day meeting room needs like: Set-up’s, reconfigure, and break down up to 13 meeting and event spaces across multiple floors, including arranging tables, chairs, signage, F&B services, AV and materials
  4. Support the catering process by receiving deliveries, verify items against the order, set up food/beverage service, replenish during the meeting, clean up afterward, organize supplies according to Event Center Standards.
  5. Assist in tracking and maintaining supplies inventory for the Event Center kitchen and meeting rooms following department procedures and organizational budget guidelines.
  6. Keep all event spaces, meeting rooms, kitchen areas and storage closets clean, organized, stocked, and ready for use. This includes regular cleaning, resetting, and monitoring of all spaces.
  7. Support the Event Center team with organizing TAC’s internal staff events that enhance our culture.
  8. Perform other duties as assigned.

Non-essential Job Functions

  • Communicate and collaborate with Event Team and other departments on required repairs, replacements and event-related service requirements, as necessary.
  • Run event-related errands, including pickup and delivery of supplies and materials (valid Texas driver’s license required).

Qualifications

Experience / Education Requirements

  • High school graduate or equivalent
  • Pursuing undergraduate degree in Hospitality, Event Management, Project Management or related field or experience.

Knowledge, Skills and Abilities

  • Excellent communication skills, both written and verbal, and the ability to relate to persons with a variety of cultural, economic and educational backgrounds.
  • High degree of professionalism in representing TAC in significant contacts with elected officials, public employees, and members.
  • Proficient in use of personal computer and Microsoft Office products including Word, Excel, and PowerPoint. Experience with relational databases required, iMIS preferred.
  • Excellent time management.
