Event and Logistics Lead

Position Summary
The Event and Logistics Lead coordinates the planning and execution of a two-day onsite innovation series as part of a broader multi-party AI enablement engagement, owning the operational and logistical backbone of the event and working closely with the client, who provides the venue, facilities, catering, and participant access.Key Responsibilities
- Coordinate the overall agenda for the two-day onsite innovation series
- Coordinate rooms, participant groups, and speakers for all sessions
- Prepare and organize working materials needed for workshops and team activities
- Manage onsite logistics throughout the event, resolving issues in real time
- Coordinate team presentations, judging, and awards
- Coordinate the executive readout session at the close of the event
- Partner closely with the client, who remains responsible for the venue, required facilities, catering, and participant access
Required Qualifications
- 5+ years of experience in event planning, program coordination, or logistics management, ideally for corporate or executive events
- Proven experience coordinating multi-day, multi-team onsite events, including agendas, rooms, and participant group logistics
- Experience coordinating speakers, presenters, and working materials for workshop- or conference-style events
- Strong organizational skills with the ability to manage many moving parts and vendors simultaneously
- Experience supporting judging, awards, or executive readout sessions
- Excellent communication skills and ability to coordinate closely with client-side logistics teams
Preferred Qualifications
- Experience planning innovation days, hackathons, or internal innovation series
- Experience working across multiple partner organizations to align on event logistics
Work Environment
This is a project-based engagement tied to the AI Enablement & Innovation Program's discovery, enablement, and onsite innovation series activities.
