Position Summary

The Maintenance Planner owns the scoping, scheduling, and tactical preparation for all day-to-day electrical, instrumentation, and mechanical maintenance activities, as well as facility capital projects. Operating within a 100% recycled, closed-loop Craft paper mill, this role balances immediate routine workforce reliability with long-term asset management. A primary focus of this position is the comprehensive development and tracking of Scheduled Major Outage and Shutdown timelines, ensuring that capital improvements and complex multi-craft maintenance are executed safely, on budget, and with zero post-startup friction.

Key Tasks and Responsibilities

  • Day-to-Day Technician Scheduling: Build, maintain, and issue optimized daily and weekly work schedules for E&I technicians and mechanical maintenance crews, maximizing wrench time and minimizing operational disruptions.
  • Shutdown & Outage Ownership: Serve as a central pillar for planned major mill shutdowns. Develop micro-level outage timelines, critical path schedules (Gantt charts), manpower allocation models, and contingency plans to minimize mill downtime.
  • Capital Projects Integration: Plan, resource, and schedule E&I and mechanical aspects of capital projects. Coordinate with project engineers to integrate new asset installations seamlessly into the routine maintenance backlog and upcoming shutdown windows.
  • Backlog & Job Scoping: Audit and advance incoming work requests into a highly structured backlog. Define precise job scopes, step-by-step procedures, tool/rigging checklists, cost estimates, and necessary safety permits.
  • Standard Work Packages: Author, update, and manage standard work packages for recurring dual-craft tasks, optimizing historical data to continuously improve execution speed and technician safety.
  • Materials & Kit Management: Identify critical spare parts and build comprehensive Bills of Materials (BOMs) for mill equipment. Source and "kit" all parts, tools, and blueprints ahead of schedule so technicians have everything required before a job begins.
  • Contractor & Vendor Coordination: Draft technical scopes of work for third-party specialized contractors (e.g., heavy rigging, high-voltage testing, roll grinds, automation updates) and manage their integration into major shutdown windows.
  • Preventative & Predictive Maintenance (PM/PdM): Review the execution of the mill's PM/PdM programs (lubrication tracking, vibration analysis, thermography, loop calibrations) to catch failures before they impact the closed-loop system.
  • Financial Oversight: Track maintenance and capital spend against assigned budgets. Monitor cost-per-ton metrics to identify high-expenditure areas and propose continuous cost-optimization strategies.
  • EHS Leadership: Embed strict environmental, health, and safety protocols (LOTO, Arc Flash, Confined Space) directly into every daily work plan and shutdown package, reinforcing the mill's zero-injury culture.

Qualifications

Education:

Associate Degree or Technical Diploma in Electrical Technology, Industrial Maintenance, Instrumentation, or Mechanical Systems, combined with demonstrated industrial experience.

A High School Diploma / GED Combined with 8 plus years of relevant industrial experience may be substituted for a degree.

Highly Desirable Professional Certifications:

  • CMRP (Certified Maintenance & Reliability Professional
  • PMP (Project Management Professional) or equivalent formal project planning/scheduling certification.
  • Formal training/certification in Root Cause Analysis (RCA) methodologies (e.g., 5-Why, Fishbone).
  • Certified training in CMMS software, SAP experience is a plus

Experience

  • Industry Experience: Minimum of 5 years of experience in heavy industrial manufacturing maintenance, showing balanced exposure to both Electrical & Instrumentation (E&I) and mechanical environments. Continuous-process paper mill experience (OCC/recycled fiber or linerboard production) is highly preferred.
  • Advanced Planning Skills: Proven mastery of maintenance planning and scheduling methodologies, backlog management, and critical path method (CPM) shutdown modeling using a CMMS and scheduling software.
  • Capital Project Exposure: Demonstrated experience planning and coordinating the field-execution phase of industrial capital improvement projects.
  • Technical Proficiency: Solid understanding of continuous manufacturing equipment, process loops, PLCs, DCS networks, VFDs, as well as heavy mechanical systems (pumps, gearboxes, hydraulics, paper machine rolls, and alignment).
  • PM Program Management: Experience implementing or maintaining industrial preventative and predictive maintenance tracking structures.
  • Communication & Collaboration: Elite communication skills; able to seamlessly bridge the gap between corporate engineers, mill managers, third-party contractors, and hourly field technicians.
  • Flexibility: Willingness to work extended hours during high-stakes outages and participate in the facility's weekend management rotation coverage.

Work Environment & Physical Demands

  • Safety Commitment: Strictly adheres to and enforces all facility safety requirements, including Lockout/Tagout (LOTO), arc flash safety (NFPA 70E), confined space entry, rigging safety, and fall protection.
  • Physical Demands: Requires active field presence. Must be capable of regular walking, standing, climbing stairs/ladders, bending, stooping, and sitting for intermediate periods. Must be able to lift up to 50 lbs.
  • Conditions: Split between an office environment and hands-on field scoping within a heavy manufacturing facility. Fieldwork  involves exposure to variable temperatures, high humidity, dust, and loud noise environments.
  • PPE: Constantly wear all required Personal Protective Equipment (PPE), including safety glasses, steel-toed boots, hearing protection, hard hats, and arc-flash rated gear as required by the zone or task.
