- Produce accurate, GAAP-compliant financial statements and reports (including AP/AR, cash flow, payroll, general ledger, activities, and financial condition statements) in a timely manner.
- Oversee all financial, project, program, and grant accounting activities, analyzing variances between financial projections and actual results.
- Manage organizational cash flow and forecasting, monitor revenue adequacy, and strategically time disbursements and collections to match operational cash flow goals.
- Maintain robust internal controls and safeguards for revenue, expenditures, financial transactions, and program budgets; establish and oversee security policies protecting financial data and records.
- Process YW3CA expense invoices, ensuring all documents are complete; process payments via Bill.com and offline check payments.
- Maintain complete and accurate electronic and paper files of account payable records by vendor, including complete detailed invoices and proof of payment per YW3CA policy and government grant standards.
- Support YW3CA departments in issuing billing, managing invoices, direct service payment, and more as applicable to the department including CACFP and ELRC.
- Ensure program revenue received in program specific software is recorded in the accounting system.
- Receive and record program income daily and participate in monthly reconciliation.
- Monitor and record unearned and earned revenue appropriately.
- Reconcile Donor Perfect to YW’s accounting system monthly.
- Partner with the CEO and senior leadership to develop sustainability and growth plans, present clear financial assessment, and execute financial strategy.
- Create, monitor, and update short- and long-term strategic financial management plans, strategic recommendations, and organizational financial contingency plans.
- Proactively identify, stay knowledgeable of, and recommend federal and state tax-advantage policies, tax credits, and revenue opportunities.
- Evaluate finance staff responsibilities, allocate workloads, and directly supervise, mentor, and build a high-performing finance team.
- Oversee technology, software, and other application contracts, and related facility functions to ensure efficient, effective, and mission-aligned operations.
- Lead and coordinate the annual budget preparation and planning process across all departments, tracking variations against expense and income targets.
- Analyze and present monthly, quarterly, and annual financial summaries to senior leadership and the Board of Directors as requested, providing clear recommendations for necessary adjustments.
- Manage all functions related to payroll and payroll tax reporting.
- Manage processing and reconciliation of employee and employer paid benefits and YW Retirement (pension).
- Reconcile payroll related GL payable and expenses accounts biweekly.
- Oversee grant and contract accounting to ensure expenditures consistently align with grant budgets; track and submit reporting to fulfill government, corporate, foundation, and YWCA USA obligations.
- Manage contract billing schedules and software/vendor contracts to ensure steady cash flow that supports operational needs.
- Lead the annual audit process, manage external auditor relationships, and implement any necessary process changes or policy updates.
- Assess and manage organizational risk and liability, maintaining key relationships with auditors and grantors.
- Negotiate vendor contracts and major purchases in the best interest of YWCA, ensuring vendor selection aligns with organizational mission and standards.
- Maintain and regularly update the finance department’s overall policy and procedure manual, business policies, and accounting practices.
- Function as a self-directed team player modeling professional standards and the YWCA mission, fostering a collaborative environment that advances the organization's goals.
- Other duties as assigned within the scope of position expectations.
- Ability to translate financial concepts to – and to effectively collaborate with -- programmatic and fundraising colleagues who do not necessarily have finance backgrounds.
- A track record in grants management.
- Strong desire for continued growth and learning.
- Tech-savvy with proficiency in Sage Intacct, Microsoft Office Suite, spreadsheets, and customized databases, alongside demonstrated experience selecting, implementing, and managing accounting and reporting software and vendor relationships.
- Willingness to attend participate in occasional trips to attend conferences, seminars, and meetings.
- Willingness to work required non-traditional hours based on operational needs.
- Strong relational skills as demonstrated by compassionate, courteous, cordial, cooperative, and professional interaction with diverse groups of co-workers, families, and members of the community.

- Highly organized, results-oriented thinker with strong analytic and problem-solving skills, a proven ability to set priorities, implement processes independently, and consistently meet tight deadlines under pressure to enable sound decision-making.

- Microsoft office suite experience required.
- Sage Intacct, Bill.com, APS and grant reporting platform experience preferred.
- Bachelor’s degree in Finance, Accounting, or a related field (required); Master’s degree in Accounting or MBA/CPA (preferred).
- Minimum of 8-10 years of overall professional experience; ideally eight-plus years of broad financial and operations management experience in the non-profit sector.
- Demonstrated experience effectively supervising, mentoring, and building high-performing finance and operations teams.
