Job Description:
The Coordinator, DAM Operations supports the end-to-end intake of the company’s media content into the Digital Asset Management (DAM) system, SAMM-e. Working closely with the DAM Operations team, this position ingests, validates, and organizes digital assets so that content is accurately described, secured, and ready for use by internal teams and external partners. The Coordinator is an individual contributor and does not have management responsibilities.
Responsibilities:
- Ingest digital media assets into SAMM-e, including full-length programming, marketing materials, images, audio, captions and subtitles, and supporting paperwork, following established ingest procedures and naming conventions.
- Apply accurate technical and descriptive metadata to ingested assets, including security policies, codecs, frame rates, audio configurations, and content details that conform to controlled vocabularies.
- Perform quality control checks after ingest on video, image, audio, and paperwork elements to confirm that required distribution standards and specifications are met, and flag or escalate issues.
- Receive and process assets delivered by internal teams and external vendors through file transfer tools such as Aspera and Signiant Media Shuttle, and confirm that deliveries are complete and correctly labeled.
- Support the migration and validation of legacy digital assets and physical media (such as LTO, DVD-R, Digibeta, and HDCamSR) that are stored on network servers, drives, and other media awaiting ingest.
- Monitor ingest queues and workflows, troubleshoot failed or stalled ingests, and escalate system issues to the DAM Operations team and Enterprise Technology as needed.
- Track ingest requests, priorities, and status in the team’s tracking tools (e.g., Smartsheet or Airtable) and keep requesters informed of progress.
- Assist internal teams with requests related to asset uploads, downloads, file sharing, and metadata corrections.
- Help maintain user and process documentation for ingest and metadata procedures.
- Perform other duties as identified or assigned.
- Identify recurring ingest errors or metadata inconsistencies and recommend process improvements to the DAM Operations team.
- Support rights and restriction metadata accuracy (such as embargo, usage rights, and expiration fields) as directed.
- Assist with onboarding and basic support of internal users and external vendors on delivery requirements.
- Participate in testing of new ingest workflows, automations, and system upgrades.
- 1+ years of experience in digital asset management, media operations, post-production, or a related media and entertainment role; internship or entry-level experience will be considered.
- Working knowledge of film, video, audio, and digital file formats, including codecs, frame rates, aspect ratios, audio configurations, and caption and subtitle formats.
- Familiarity with file transfer applications such as Aspera and Signiant Media Shuttle.
- Proficiency on Mac and PC and with Microsoft Office; Smartsheet or Airtable a plus.
- Experience with OpenText Media Management or another DAM system a plus.
- Experience with physical media such as LTO, DVD-R, Digibeta, and HDCamSR a plus.
- Experience with Adobe Creative Suite a plus.
- Strong attention to detail and organization, with the ability to follow procedures accurately and handle a high volume of repetitive work.
- Self-motivated, able to manage priorities and deadlines, and comfortable working independently and as part of a team.
- Clear written and verbal communication skills.
