HEAD START

Through our Head Start and Early Head Start programs, we work with children (ages 0 – 5) and their families to provide the skills, confidence and stable home life necessary for a smooth transition into kindergarten and beyond. Children also receive a broad array of health services including screenings and referrals, maintenance of immunization schedules, nutrition assessments and follow-ups, mental health assessments as part of initial screenings, and determination if developmental or physical delays are present. Children receive health and dental services and have access to ongoing and acute and routine health and dental care. Enrolled children receive healthy meals, along with an assessment of their nutritional needs and the necessary follow-ups. Nutrition education is available for parents and incorporated into daily classroom activities for the children.

JOB SUMMARY AND PURPOSE

The Data Entry Clerk/Office Assistant provides data entry support within their assigned areas. They gather participant data used for statistical reports, monitor records, and check and review data for completion and conformance with established procedures. Throughout the day they answer and direct calls for the office assigned, complete basic receptionist duties, and general office follow up/support as needed. As a key personnel, they establish and maintain cooperative and harmonious working relationships with program staff, workers, families, business agencies, office vendors, and general public.

Specific Duties include:

  • Monitor database and compile information for reporting when designated. Run weekly or monthly reports as determined by the Program Records team;
  • Enter enrollment, attendance, and content specific data into designated systems. Verify entered data by reviewing, correcting, changing, or deleting entered information. When requested, enroll or drop participants in Child Plus. Attach eligibility documents and ensure that all data listed is accurately entered into the database. Resolve discrepancies by using standard procedures to return incomplete documents to the appropriate staff member for resolution;
  • Perform moderate to difficult clerical and technical assignments independently. Responsible to open and/or close the office at designated times. Ensure basic receptionist duties are completed including checking visitors and staff into the office, answering phones and directing calls to the appropriate extensions. As needed make copies, scan, or file basic documents;
  • Typing letters, forms, monitoring records and reports; checking and reviewing data for completion and conformance with established regulations and procedures;
  • Organize and maintain cleanliness and stocking of all common areas throughout the office.
  • Other duties as may be needed to fulfill program requirements.

ESSENTIAL DUTIES:

  • Services for this position must be provided on-site. As a result, the position requires incumbents to report to work on-site each day of active employment.

MANDATED REPORTER
As service providers to the underprivileged and vulnerable in our community, all employees are considered Mandated Reporters, and must report any instance of physical or sexual abuse to proper authorities.

    Qualifications

    REQUIREMENTS:

    • Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications
    • In order to make home visits and travel to different school sites, offices, etc., must have access to an automobile with adequate insurance coverage and a valid California driver’s license, or have means to other easily accessible transportation.
    • Proof at the time of hire
      • TB clearance within 6 months prior
      • Annual Influenza vaccination (between Nov. 1st - Mar. 31st)
      • Pertussis (whooping cough) and measles immunization
    • Health screening at the time of employment
    • Requires ability to interact with children in a busy environment including, but not limited to:
      • Able to lift up to 50 lbs.
      • Frequently kneel and squat
      • Ability to move quickly

    EDUCATION:

    • Graduation from high school or
    • Timely completion of required training

    EXPERIENCE:

    • Must have 2-4 years of general office administration, data processing, business administration or related field experience.

    PREFERRED QUALIFICATIONS:

    • Demonstrate teaching or training skills
    • Knowledge of Acorn SNST Tools and Heat Maps Child Plus
    • Ability to read and analyze data from various sources
