Position: Dental Office Manager

Salary: $25.27 - $30.78

Reports To: Dental Director

Location: Nespelem, WA

Qualifications

SUMMARY:

The Dental Office Manager for the Colville Tribal Healthcare Authority is the principal individual responsible for the efficient management of the dental office team at their assigned location. The incumbent will be responsible for ensuring a smooth, positive and patient focused environment by working positively and supportively with all departments, providing timely, thorough, and accurate organizational information. The Dental Office Manager will perform their job duties in a professional manner while assuring that all the needs of the staff and patients are met – with a pleasant demeanor.

ESSENTIAL FUNCTIONS:

  • Responsible for the success and supervision of the dental office team at assigned site.
  • Serves as a member of the clinical support team by assisting with tracking, monitoring, providing follow-ups and coordinating care for patients.
  • Assists with the identification of “high risk” patients and include them in the patient registry(s). 
  • Enter patient health data in the Electronic Health Record (EHR).
  • Responsible for oversight of patient demographics, insurance eligibility and verification related to patient accounts.
  • Increase continuity of care by managing relationships and providing referrals with other regional care providers.
  • Gather required information and provide administrative support to the Dental Director at the Quality Improvement (QI) meetings.
  • Provide education to dental office team, patients, families and caregivers about relevant community resources.
  • Assist with patient questions and/or complaints for resolution of concerns.
  • Ensure that contract and grant compliance, as well as reporting requirements are met and in accordance with the conditions of the contract and/or grant.
  • Responsible for appropriate expenditures and compliance with allocated budget.
  • Prepare reports, presentations, and metrics related to the dental portion of healthcare authority for their assigned site.
  • Complies and ensures compliance with applicable legislation, funding and organizational requirements, policies and procedures.
  • Ensure confidential handling of sensitive team member information in line with data protection policies and laws.
  • Performs other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • AA degree with a minimum of 3 (three) years of experience is required. Other combinations of higher education and extended experience may substitute for the degree when it demonstrates the ability to fulfill the requirements of the position.
  • HIPAA and Privacy training and Basic Life Support Certificate within 90 days of employment.
  • Blood borne pathogen training annually.
  • Ability to understand, speak, communicate and read the English language.
  • Strong organizational and time management abilities.
  • Ability to utilize RPMS and EHR proficiently.
  • Requires ability to utilize a multi-line telephone with good telephone etiquette.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Well-developed human relation skills to convey technical concepts to others, to deal with sensitive and confidential information, to give instructions and training, and to facilitate training and discussions in individual and group settings.
  • Ability to communicate technical information and to interact with a wide variety of groups and individuals inside and outside the organization.
  • Ability to plan, organize, and prioritize work processes in a high-volume environment in order to meet deadlines and to comply with goals and objectives.
  • Ability to analyze data from multiple information ports by comparing and contrasting data to draw a conclusion or to identify trends.
  • Ability to communicate professionally in written, verbal, and non-verbal format while portraying a friendly tone, word choice, and body language.
  • Valid Washington State Driver’s License is required and be insurable.

PHYSICAL REQUIREMENTS:

  • Ability to sit for long periods of time.
  • Manual and finger dexterity to complete duties.
  • Ability to frequently bend, stoop, and reach.
  • Ability to push and pull frequently.
  • Ability to lift up to 20 (twenty) pounds periodically.
  • Ability to comprehend complex issues.
  • Sufficient visual acuity to write, recognize printed materials, computer screen, and notice non-verbal behavior.
  • Speech and hearing ability to project voice to small and large audiences, carry on telephone conversations, hear and grasp verbal communications and equipment prompts.
  • Ability to drive in adverse weather conditions.

Note: Pursuant to Tribal Policy, if this position is safety sensitive it is subject to pre-employment drug testing. In addition, this position is subject to reasonable suspicion and post-accident drug testing.

 TRIBAL MEMBER AND INDIAN PREFERENCE WILL APPLY; PREFERENCE WILL ALSO BE GIVEN TO HONORABLY DISCHARGED VETERANS WHO ARE MINIMALLY QUALIFIED.

 If required of this position, you must possess and maintain a valid Washington State driver’s license and be eligible for the Tribes’ Vehicle Insurance.  In addition, this position may be subject to pre-employment background clearances.  If applicable, these clearances must be maintained throughout employment.
