Job Title: Contractor, Project Manager
Location: Austin, TX
Duration: 12 months


The main function of this role is to provide operational and systems support to the Talent Acquisition organization, with a primary focus on Workday-related questions, troubleshooting, data accuracy, and operational processes. This individual will serve as a trusted resource for recruiters and Talent Acquisition partners, helping resolve day-to-day questions, investigate issues, maintain accurate data, and ensure recruiting processes are executed consistently and with a high level of quality.

The ideal candidate has experience supporting Talent Acquisition or recruiting operations, is comfortable navigating and troubleshooting within Workday, and brings a strong operations mindset. This person should be highly organized, analytical, thorough, and able to identify issues that others may overlook. A high bar for accuracy, follow-through, and customer service is essential.

Education / Experience
  • Bachelor’s degree preferred, or equivalent relevant professional experience
  • 3–7 years of experience in Talent Acquisition Operations, Recruiting Operations, HR Operations, HRIS support, or a similar operational role
  • Experience supporting Workday Recruiting and responding to Workday-related questions from recruiters, recruiting coordinators, hiring teams, or Talent Acquisition partners strongly preferred
  • Experience working in a high-volume, fast-paced Talent Acquisition or HR environment preferred
  • Advanced or strong working knowledge of Microsoft Excel, including organizing and analyzing data, lookups, pivot tables, formulas, reconciliation, and data validation
  • Major Job Duties and Responsibilities
  • Experience with AI tools and capabilities, including practical knowledge of how AI can be applied to improve Talent Acquisition operations, user support, knowledge management, and process efficiency (Preferred)
  • Experience creating, configuring, or maintaining bots/AI assistants to answer common questions, support self-service, automate repetitive tasks, or improve the recruiter and candidate experience (Preferred)
  • Ability to identify opportunities to leverage AI, automation, and emerging technologies to simplify processes, reduce manual work, and improve the quality and consistency of operational support (Preferred)
  • Understanding of responsible AI practices, including data privacy, accuracy, appropriate human oversight, and the importance of validating AI-generated outputs (Preferred)
  • Provide day-to-day operational support to the Talent Acquisition organization, including responding to and resolving Workday Recruiting questions and issues
  • Serve as a knowledgeable point of contact for recruiters and Talent Acquisition partners regarding recruiting processes, systems, workflows, and data
  • Research and troubleshoot Workday issues, identify root causes, and either resolve questions directly or route/escalate issues to the appropriate teams
  • Monitor incoming questions and requests, ensuring issues are handled accurately, thoroughly, and within expected timelines
  • Perform regular data reviews, audits, and reconciliations to identify discrepancies and maintain accurate recruiting and candidate information
  • Review Workday transactions and recruiting processes for completeness and accuracy, proactively identifying potential issues before they create downstream impact
  • Document recurring questions, resolutions, business processes, and standard operating procedures to improve consistency and enable self-service
  • Partner cross-functionally with recruiters, recruiting coordinators, HR/People Operations, HRIS, and other stakeholders to resolve operational issues
  • Identify opportunities to simplify processes, reduce manual work, improve data quality, and create a more efficient experience for Talent Acquisition teams
  • Manage multiple priorities and requests simultaneously while maintaining a high standard for accuracy and attention to detail
  • Follow issues through to resolution, ensuring stakeholders are informed and that requests do not fall through the cracks
  • Handle sensitive candidate, employee, and recruiting information with appropriate discretion and confidentiality

Skills
  • Workday Recruiting experience and ability to troubleshoot recruiting-related questions (Strongly Preferred)
  • Talent Acquisition Operations, Recruiting Operations, HR Operations, or HRIS support experience (Required)
  • Strong Microsoft Excel skills, including formulas, lookups, pivot tables, data validation, and reconciliation (Required)
  • Exceptional attention to detail and commitment to accuracy and quality (Required)
  • Strong analytical and problem-solving skills, with the ability to investigate an issue, connect multiple data points, and identify root causes (Required)
  • Strong verbal and written communication skills with the ability to explain processes and system issues clearly to different audiences (Required)
  • Strong customer-service mindset and ability to support recruiters and Talent Acquisition partners in a responsive and professional manner (Required)
  • Ability to work independently, exercise sound judgment, and take ownership of issues through resolution (Required)
  • Strong organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environment (Required)
  • Ability to recognize inconsistencies, question unexpected results, and proactively investigate potential errors rather than simply completing a task (Required)
  • Experience documenting processes, creating standard operating procedures, and identifying operational improvements (Preferred)
  • Ability to maintain a high bar for quality, even while managing high volumes of work and competing priorities (Required)
