JOB TITLE: Contingent Workforce Onboarding Specialist
LOCATION: Santa Clara, CA
DURATION: 12 Months
PAY RANGE: $31 - $50/hr.

RESPONSIBILITIES: What you'll be doing: Onboarding Coordination:
  • Gather onboarding details from managers and suppliers to initiate the contractor onboarding process.
  • Ensure all necessary agreements are in place by engaging Legal when required.
  • Coordinate with Procurement to confirm Purchase Order (PO) approvals as needed.
  • Initiate and manage background checks via platforms like HireRight, ensuring compliance with regional requirements.
Documentation Management:
  • Prepare and send all required forms as well as track outgoing and incoming responses, ensuring timely completion.
  • Ensure approval across all required cross-functional teams.
  • Generate and submit new hire alerts within ServiceNow to ensure contractors are accurately onboarded into internal systems.
Communication and Support:
  • Serve as a point of contact for contractors during the onboarding process, addressing any issues or questions that may arise.
Tracking and Reporting:
  • Maintain up-to-date records of contractor onboarding activities in other internal systems.
  • Track and report on onboarding progress to ensure all required steps are completed within the encouraged timeframe.
  • Manage and process all Workday transactions for contingent workers.
  • Conduct monthly and weekly audits of contractor records in Workday.
Beeline Specific Expertise:
  • Understanding of Beeline workflows, system architecture and integration activities
  • Responsible for the day-to-day operations of the Beeline system, including monitoring transactions, running compliance checks and ensuring data accuracy.
  • Collaborating with internal and external teams on Beeline reports and data accuracy and through audits and quality checks.
  • Support other Contingent workforce projects as needed.
QUALIFICATIONS:
  • Bachelor’s degree in related field or equivalent experience.
  • 3-5 years of contingent workforce project management experience, with a proven track record in fast-moving and fast-scaling environments.
  • In-depth knowledge of contingent workforce management best practices and contingent worker classifications.
  • A hands-on approach—willingness to roll up your sleeves and actively manage job requests, workforce operations, and vendor performance.
  • Strong organizational and time-management skills with the ability to balance. multiple ongoing projects and tasks.
  • Excellent communication skills, both written and verbal.
  • Proficiency in managing documentation through platforms like DocuSign.
  • Excellent analytical skills including proficiency with dashboards, MS Excel, and Visualization.
  • Ability to work collaboratively with cross-functional teams including Legal, Procurement, and HR.
  • High attention to detail, with the ability to track and manage compliance-related documentation.
  • Knowledge of Workday and VMS tools.
  • Analytical and problem-solving skills for business needs and troubleshooting.
  • Excellent knowledge of reporting, analytics and advanced MS Excel skills
  • Excellent knowledge of Beeline platform issue resolution from a business perspective
  • Preparation of weekly and monthly reports for the program and Beeline
  • Excellent communication and interpersonal skills.
  • Project management skills.
  • Excellent organizational and time management skills with the ability to multi-task
PREFERRED QUALIFICATIONS:
  • Experience in contractor or employee onboarding, particularly in a global environment.
  • Knowledge of procurement and legal compliance in the contractor hiring process.
  • Experience in identifying process gaps and driving improvements, with a focus on automation, innovation for enhancing customer satisfaction, revenue generation, and future readiness.
  • Excellent communication skills in collaborating with various internal teams, customers and trading partners.
  • Demonstrated ability to work effectively in a fast-paced, deadline-oriented environment
  • Ability to conduct complex analysis and translate user requirements into attainable solutions
  • Excellent verbal and written communication, interpersonal, conflict resolution, presentation and customer service skills
  • Effective time management, work prioritization and delegation skills
  • Experience with offshore resources is preferred

EDUCATION:
  • Bachelor’s degree in a related field or equivalent experience.
