AtBlackburn's Physicians Pharmacy, Inc., our Complex Rehabilitation team helps individuals receive specialized mobility and seating equipment designed to improve independence, comfort, and quality of life.
We are seeking an organized, compassionate, and detail-orientedComplex Rehab Coordinator to join our Tarentum team. This position is ideal for someone who enjoys working with patients, healthcare professionals, insurance providers, and internal teams while managing the many details required to move a complex rehabilitation equipment order from referral through delivery.
As a Complex Rehab Coordinator, you will serve as an important connection between the patient, clinical team, referral source, insurance carrier, and Blackburn’s staff to help ensure each order progresses accurately and efficiently.
What You’ll Do
- Coordinate patient accounts and complex rehabilitation equipment orders from intake through completion.
- Serve as a primary point of contact for patients, caregivers, referral sources, clinicians, and healthcare providers.
- Gather and review patient demographics, insurance information, prescriptions, medical documentation, and other required information.
- Verify insurance coverage and assist with authorization and approval requirements.
- Communicate with physician offices, therapists, insurers, and other parties to obtain documentation needed to support medical necessity.
- Schedule appointments, evaluations, deliveries, and other patient-related services as needed.
- Monitor outstanding documentation and authorizations and follow up regularly to keep orders moving forward.
- Prepare and review delivery documentation to ensure required paperwork is complete and accurate.
- Maintain clear and thorough documentation of patient accounts, communications, and order status.
- Work closely with Assistive Technology Professionals, clinical staff, customer service, billing, and other departments to resolve issues and coordinate patient needs.
- Communicate order updates and next steps clearly and professionally to patients and referral sources.
- Identify delays, missing information, or other barriers and take appropriate steps to help resolve them.
- Assist with training, knowledge sharing, and process improvement initiatives within the Complex Rehab team.
- Follow company policies and applicable healthcare, privacy, documentation, and regulatory requirements.

- Comfortable learning insurance requirements, medical terminology, and complex rehabilitation processes.
- Previous experience in healthcare, durable medical equipment, insurance verification, prior authorization, medical billing, patient coordination, or a related field is preferred.

Qualifications
- 1-3 years of experience in the home and durable medical industryrequired
- Medicare/Medicaid experience required
- High School Diploma or Technical Degree required (college coursework or degree preferred)
- Strong organizational and communication skills
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Proficiency in Microsoft Office, Outlook, and internet-based applications
- Familiarity with medical terminology, anatomy, or rehab services is a plus
- Customer-focused mindset with strong problem-solving skills and attention to detail
