The Events Manager plans, organizes, and manages the full slate of events for the Co-op, Career Development and Employer Engagement teams, supporting employer, faculty/staff, and student stakeholders. This role manages an estimated 50+ events per year, ranging from mid-size virtual employer sessions to large in-person career fairs, student expos and information sessions, division-wide town halls, and other faculty/staff training events. The Events Manager evaluates space, technology, catering, and vendor requirements for each event; serves as the primary point of contact between vendors and the division; and handles event planning and logistics end-to-end, including space reservations, marketing and participant tracking, presentation and visual support, virtual event technical support, and day-of on-site management, ensuring each event runs smoothly and reflects positively on the unit and supports the division's mission.

Key Responsibilities & Accountabilities

  • Plan and manage event logistics for the experiential education division’s full calendar of 50+ events per year across employer, faculty/staff, and student audiences, including space bookings, catering orders, vendor negotiation and coordination, and on-site setup/breakdown.

  • Produce and support virtual events, including formatting and running slides/presentations, running technical/AV support, monitoring chat to field questions in real-time and managing breakout rooms.

  • Lead day-of, on-site management for larger co-op events such as career fairs, student expos, new student welcome days/orientations, and division town halls, coordinating staff/volunteers, vendors, and troubleshooting issues as they arise.

  • Manage invitations, registration, and RSVP tracking for all co-op events, and serve as the primary point of contact for employers, faculty/staff, and students with event-related questions.

  • Track event budgets, conduct post-event reviews and gather attendance/feedback data, and recommend improvements to event processes, vendor relationships, and best practices for the annual events calendar.

Minimum Qualifications

  • Bachelor's degree or equivalent combination of education and experience.

  • 3-5 years of experience in event planning, coordination, or hospitality, ideally in a higher education, career services, or corporate relations setting.

  • Demonstrated ability to plan and manage multiple, concurrent events of varying size and complexity with ease and efficiency; effective time management, and strong attention to detail.

  • Ability to establish and maintain collaborative, professional working relationships with diverse constituent groups, including employers, faculty/staff, students, and vendors, and to listen, respond, and problem-solve effectively to address their needs.

  • Proficiency with virtual event platforms (e.g., Zoom, Microsoft Teams) and standard presentation and productivity software (PowerPoint, Google Slides, MS Office suite).

  • Strong written and verbal communication skills, with experience coordinating invitations, RSVPs, and correspondence with attendees.
