WHAT YOU’LL DO:
We are seeking a dedicated and detail-oriented Clinical Coordinator to join our team. The ideal candidate will play a key role in ensuring smooth day-to-day operations, providing exceptional customer service, and supporting the overall patient experience. The Clinical Coordinator will be responsible for managing client interactions, maintaining accurate documentation, and facilitating communication between clients, clinicians, and administrative staff. This role also involves fostering a positive, collaborative, and professional environment at the center.
Key Responsibilities:
Client Interaction & Support:Greet clients warmly upon arrival, address inquiries, and ensure appointments run on time to minimize wait times for patients.
Scheduling and Client Relations:Ensure an efficient client journey. Coordinate with clinical and administrative teams to provide timely patient care through proactive scheduling and calendar management.
Documentation & Paperwork:Collect client paperwork, including consent forms and medical history, and ensure all documentation is accurately completed and filed in compliance with privacy standards.
Client Information Management:Maintain up-to-date client information in the system. Ensure all necessary documentation is submitted to insurance providers and update client records as required.
Confidentiality & Compliance:Maintain client confidentiality at all times in accordance with HIPAA and other privacy regulations. Ensure all interactions are conducted with discretion and professionalism.
Culture & Morale:Contribute to cultivating a positive center culture by promoting a supportive, collaborative, and respectful environment. Support team morale and assist in ensuring a welcoming atmosphere for both staff and clients.
Internal Clinical Notes Auditor:Ensures insurance notes are completed in a timely manner based upon company expectations.
WHAT WE’RE LOOKING FOR:
Required Qualifications and Skills:
High school diploma or equivalent (Associate's or Bachelor's degree preferred).
Previous experience in an administrative or clinical coordination role.
Strong organizational skills with excellent attention to detail.
Proficiency in using scheduling software, electronic health records (EHR), and office tools such as Microsoft Office Suite or Google Workspace.
Excellent verbal and written communication skills.
Ability to prioritize tasks and manage time effectively in a fast-paced environment.
Commitment to maintaining confidentiality and adhering to ethical standards, including HIPAA compliance.
Customer service orientation with a professional demeanor.
Positive attitude and dedication to creating a welcoming and supportive atmosphere for clients and staff

Preferred Qualifications and Skills:
Associate’s or Bachelor’s degree in healthcare administration, psychology, or a related field.
Knowledge of medical terminology, insurance processes, and experience with claims verification.
Previous experience in a mental health or healthcare setting.
Familiarity with managing and auditing insurance documentation for accuracy and compliance.
Ability to foster a collaborative and positive workplace culture.
Experience handling sensitive or challenging client situations with empathy and professionalism.
Interest in or familiarity with mental health conditions such as OCD, anxiety, and mood disorders.
Knowledge of insurance processes and medical terminology (preferred).
