Overview
We are seeking a motivated and client-focused Client Service Representative – ETF to support custody, fund accounting, and ETF clients within a fast-paced financial services environment. This entry-level role serves as a key point of contact for client inquiries, operational support, reporting coordination, and relationship management while partnering with internal teams to deliver exceptional client service.This position offers an excellent opportunity to build expertise in ETF operations, fund accounting, custody services, and investment operations while developing strong client relationship management skills.
Responsibilities
Client Service & Inquiry Management
- Serve as a primary point of contact for assigned ETF custody and fund accounting clients
- Monitor and respond to client inquiries related to:
- ETF operations
- Custody services
- Fund accounting
- Fund administration
- Provide timely status updates and communicate resolution progress to clients
- Escalate complex or high-risk issues when appropriate
- Conduct regular client meetings and review sessions
- Prepare meeting agendas, materials, meeting notes, and follow-up actions
- Review daily and monthly reporting, reconciliations, and service metrics
- Identify and escalate issues that may impact client service delivery
Internal Collaboration & Relationship Management
- Partner with teams across:
- Fund Accounting
- Custody Operations
- Client Onboarding
- Product
- Technology
- Risk
- Coordinate client deliverables and assist in issue resolution
- Communicate upcoming client events, product changes, and business activities to internal stakeholders
- Share client feedback, trends, and service improvement opportunities
- Build and maintain strong relationships with clients and internal partners
Technology, Training & Platform Support
- Leverage internal technology platforms to manage client inquiries efficiently
- Educate clients on reporting platforms and self-service tools
- Coordinate client demonstrations and training sessions
- Assist with user adoption initiatives and platform enhancement discussions
- Help improve operational efficiency by encouraging client self-service capabilities
Risk Management & Compliance
- Adhere to organizational policies, procedures, and service standards
- Maintain confidentiality and safeguard sensitive information
- Support monthly, quarterly, and ad hoc reporting requirements
- Ensure reporting accuracy, consistency, and appropriate escalation of issues
- Support risk awareness and operational control activities
Required Qualifications
- Bachelor's degree or equivalent work experience
- Strong verbal and written communication skills
- Excellent organizational and time-management abilities
- Strong analytical and problem-solving skills
- Ability to prioritize and manage multiple responsibilities simultaneously
- Ability to build productive relationships with clients and internal stakeholders
- Strong attention to detail and follow-through
- Proficiency with Microsoft Office applications, particularly Excel
- Ability to learn new technologies, systems, and operational processes quickly
