Hanson Professional Services Inc. is seeking a dynamic, detail-oriented individual to fill a full-time Administrative Assistant position in our Springfield, Illinois headquarters.


A Day in the Life of a Hanson Administrative Assistant


Typical responsibilities include supporting managers and project teams with administrative functions, coordinating meetings and schedules, preparing reports and correspondence, managing office operations, processing invoices and expense reports, assisting with onboarding activities, and providing exceptional customer service to employees and visitors.

This role interacts with staff across the organization and helps create an efficient, welcoming, and collaborative workplace environment.


Essential Job Functions/Responsibilities


Administrative duties may include:

  • Answering and directing telephone calls and responding to routine inquiries.
  • Greeting visitors, clients, and vendors in a professional manner.
  • Coordinating meetings, calendars, conference rooms, and travel arrangements.
  • Preparing and formatting correspondence, reports, presentations, and other business documents.
  • Maintaining electronic and physical filing systems and company records.
  • Assisting with onboarding and orientation activities for new employees.
  • Coordinating office supplies, vendor services, and facility-related requests.
  • Supporting project teams with document preparation, meeting coordination, and project record maintenance.
  • Assisting with company meetings, employee events, training sessions, and special projects.
  • Managing office calendars, contact databases, and distribution lists.
  • Supporting leadership and staff with administrative requests and other duties as assigned.

Qualifications


Technical Skills


  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Ability to learn and utilize company software systems and document management platforms.
  • Proficiency with Adobe Acrobat and related business software preferred.
  • Ability to prioritize and manage multiple assignments while meeting deadlines.
  • Ability to maintain confidential information and exercise sound judgment.
  • Strong proofreading and document formatting skills.

Education/Experience


  • High school diploma or equivalent required.
  • Associate degree in business administration, office management, or a related field preferred.
  • Minimum of three years of administrative support, office coordination, executive support, or related professional experience preferred.
  • Experience within an engineering, consulting, professional services, or corporate environment is a plus.

  • Strong interpersonal and customer service skills.
  • Ability to build effective relationships with employees, clients, and vendors.
  • Must be team-oriented and willing to undertake both routine and complex assignments.
  • Self-motivated with a desire to learn new skills and continuously improve.
  • Ability to work independently while collaborating effectively with colleagues throughout the organization.
  • Demonstrated professionalism, reliability, and accountability.

This is a non-exempt position the hourly range for this position is $20 - $25 per hour depending on experience and skill set.
