Human Resources Administrative Assistant

Monday through Friday, 8:30-5:00, Randolph, MA

 

 

May Institute’s Human Resources team is seeking aHuman Resources Administrative Assistant to support key HR operations, employees, and HR initiatives.

 

About Your Role 

The Human Resources Administrative Assistant provides administrative support for key operational functions and the SVP of HR. Responsibilities include maintaining accurate records, handling confidential information, and helping ensure HR processes and initiatives run smoothly.

 

We are seeking a highly organized, detail-oriented, and motivated administrative professional who can build strong relationships with internal and external customers, effectively manage multiple priorities, and contribute innovative solutions to support the Human Resources team. The ideal candidate thrives in a fast-paced environment, demonstrates strong problem-solving abilities, and takes ownership and pride in delivering high-quality work. What You’ll Do

 

  • Maintain employee personnel files and HR systems,ensuring accuracy and confidentiality
  • Manage leave of absenceby tracking documentation, building and maintaining leave spreadsheets and conducting bi-weekly meetings with HR field representatives
  • Maintain the Leave of absence mailboxand respond to employees' and HR Field Representatives' inquiries regarding FMLA eligibility, procedures, policies and preparing leave paperwork
  • Prepare reports, spreadsheets, and HR documentationas requested
  • Update the MA DFML websitewith the employer's response to notifications received for State leave requests from employees
  • Support compliance efforts,including audits, 1-9 verifications, and required postings
  • Provide administrative support to the SVP of HR,including scheduling meetings, maintaining calendars, preparing correspondence and reconciliation of invoices
  • Perform general office duties such as filing, scanning, data entry, and ordering supplies

 

What You Bring

 

  • High school diploma or equivalent required; associate or bachelor's degree preferred, or equivalent work experience
  • 2+ years of administrative or HR support experiencepreferred
  • Strong organizational skills and attention to detail
  • Ability to handlesensitive and confidential informationwith professionalism
  • Proficiency inMicrosoft Office(Outlook, Word, Excel); experience with HRIS systems a plus
  • Excellent written and verbal communication skills
  • Ability toprioritize tasks, meet deadlines,and work in a fast-paced environment
