Position Summary:

The Assistant Behavior Intervention Specialist (ABIS) provides essential support to the Behavioral Services Department through documentation management, data tracking, compliance monitoring, quality assurance assistance, and interdepartmental coordination. The ABIS is responsible for collecting, organizing, reviewing, and maintaining behavioral and program documentation; monitoring required timelines and regulatory deadlines; maintaining tracking systems; and assisting with audit preparation, Human Rights Committee (HRC) documentation, and other regulatory submissions.

The ABIS conducts preliminary reviews of records to identify missing or incomplete information and communicates findings, documentation concerns, and compliance issues to the Senior Behavior Intervention Specialist (BIS) Team Lead for review, follow-up, and clinical or supervisory action. The ABIS also supports communication between residential and day program teams by facilitating documentation requests and follow-up to ensure timely and accurate submissions. By strengthening documentation systems and compliance processes, the ABIS enhances departmental efficiency, supports regulatory readiness, and allows BIS staff to focus on direct clinical services and behavioral interventions.

Essential Accountabilities:

Tracking, Compliance, and Quality Support

  • Maintain tracking logs for required behavioral documentation, reports, staff training records, and regulatory deadlines.

  • Monitor documentation timelines and notify the Senior BIS Team Lead of upcoming or overdue requirements.

  • Identify documentation gaps, inconsistencies, or compliance concerns and report findings to the Senior BIS Team Lead for review and follow-up.

  • Update department tracking sheets to ensure audit readiness, including highlighting items that require follow-up by the Senior BIS Team Lead or BIS staff.

  • Assist with data entry, document uploads, and record organization within the EHR system when available.

  • Monitor EHR records for completeness and adherence to documentation standards and report deficiencies to the Senior BIS Team Lead.

  • Conduct preliminary audits of behavioral documentation, tracking systems, and records to identify missing information, inconsistencies, or compliance concerns for review by the Senior BIS Team Lead.

  • Assist with maintaining departmental quality assurance and compliance tracking systems.

  • Monitor completion of required documentation, reviews, trainings, and other departmental requirements and communicate outstanding items to the Senior BIS Team Lead.

  • Compile compliance reports, audit summaries, and departmental tracking reports for review by the Senior BIS Team Lead and BIS staff.

Communication and Coordination

  • Communicate documentation requirements, reminders, and follow-up requests to residential and day program teams as directed.

  • Coordinate the collection of documentation, data, and information requested by BIS staff and the Senior BIS Team Lead from residential and day program teams.

  • Facilitate follow-up communications regarding documentation deficiencies, outstanding requests, and required submissions, keeping the Senior BIS Team Lead informed of unresolved issues.

  • Assist with the distribution of behavioral service-related forms, tracking tools, and departmental communications.

HRC and Regulatory Support

  • Gather and organize documentation for Human Rights Committee (HRC) reviews and regulatory submissions.

  • Compile supporting materials and reports for review by the Senior BIS Team Lead and BIS staff.

  • Maintain tracking systems related to HRC submissions, approvals, reviews, and required follow-up actions, reporting outstanding items to the Senior BIS Team Lead.

  • Assist with preparing documentation packets and supporting materials for audits, regulatory reviews, and quality assurance activities.

  • Organize and maintain records to ensure documentation is readily accessible and audit-ready.

Departmental Support and Process Improvement

  • Assist with the development, maintenance, and organization of departmental tracking tools, forms, templates, and filing systems under the direction of the Senior BIS Team Lead.

  • Support departmental initiatives aimed at improving workflow efficiency, documentation accuracy, and regulatory compliance.

  • Participate in departmental meetings, quality improvement activities, and special projects as assigned.

  • Perform other related administrative and operational duties in support of the Psychological Services Department as assigned by the Senior BIS Team Lead, Director of Psychological Services, or designee.

Qualifications

High School Diploma or equivalent required; Associate’s degree preferred.

  • Currently pursuing or having completed coursework in psychology, behavior analysis, social work, or a closely related human services discipline preferred.

  • Experience supporting individuals with intellectual and developmental disabilities and/or individuals with complex social-emotional, mental health, and behavioral support needs in residential, educational, day program, or ABA-based settings preferred.

  • Strong computer proficiency, including experience with Microsoft Office applications (Word, Excel), email systems, and electronic documentation or record-keeping systems, with the ability to accurately organize, track, and manage data within electronic and/or paper-based systems.

  • Ability to travel between multiple service locations as required.

  • Strong communication and organizational skills to support coordination across programs and teams.
