TheAsset Management Support Specialistprovides administrative, analytical, and operational support to the Asset Management team. This position assists with purchasing, vendor and contract administration, capital expenditure tracking, project lifecycle analysis, Yardi workflow maintenance, risk rating, and other asset management activities. The Asset Management Support Specialist is responsible for maintaining accurate records, tracking information and deadlines, preparing reports and documentation, and coordinating with internal departments and vendors to support the day-to-day operations of the Asset Management function.

 

What you will do in the role:

  • Purchasing-Issue and track purchase orders while maintaining accurate purchasing records; Manage vendor accounts and authorized users for CHN's commercial purchasing accounts.  Assist with purchasing questions and resolve issues as appropriate.
  • Contract & Vendor Administration- Maintain vendor and contract records, including key dates, services, and documentation. Assist with RFPs, vendor documentation, contract renewals, and invoice templates. Track contract expirations, renewals, and missing documentation.
  • Capital Budgeting & Tracking- Track approved capital expenditures and project progress throughout the year. Maintain accurate records and prepare reports for Finance, Property Management, and Asset Management. Assist with gathering documentation for capital projects.
  • Yardi Administration- Maintain and update designated Yardi workflows. Assist with documenting Yardi processes and procedures.
  • Project Lifecycle Analysis- Coordinate appraisals, PCNAs, and other required reports and documentation. Organize and assemble project lifecycle materials. Review information for completeness and accuracy and follow up on missing items
  • Risk Rating- Compile quarterly spreadsheets and supporting documentation. Enter, organize, and review data for accuracy and completeness. Follow up on missing or inconsistent information.
  • Administrative Support-Maintain files, spreadsheets, databases, schedules, and other Asset Management records. Prepare reports, presentations, correspondence, and other documents. Coordinate meetings, track action items, and assist with follow-up. Support special projects and initiatives, including Preventative Maintenance, IGS, and ION projects.
  • Other - Perform other duties consistent with the responsibilities of the position. Contribute to CHN activities and actively participate as a member of the CHN community.

Qualifications

What You Bring to the Role

  • Associate degree in business administration, accounting, finance, project management, or a related field preferred, or equivalent experience.
  • 1–3 years of experience in administrative, accounting, property management, asset management, or purchasing roles preferred.
  • Experience with Yardi or another property management system preferred.
  • Valid driver's license and auto insurance.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and the ability to learn and adapt to new technology.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Ability to analyze and organize information using spreadsheets and other tracking tools.
  • Working knowledge of accounting and finance concepts.
  • Strong attention to detail and accuracy.
  • Basic knowledge of system documentation principles preferred.
