Position Summary:
We are seeking a highly organized, proactive, and results-driven Marketing Project Manager to oversee the day-to-day execution and coordination of marketing initiatives across our three brands. This position serves as the operational hub between the Executive Leadership Team, Marketing Director, internal departments, and outside vendors. The Marketing Project Manager will be responsible for keeping projects, budgets, vendors, recruiting initiatives, marketing calendars, reputation management, social media, PR, and other marketing activities organized, accountable, and moving forward. The ideal candidate is an exceptional project manager who can manage multiple priorities simultaneously, communicate effectively with executives and vendors, identify problems before they become roadblocks, and ensure commitments are completed on time and within budget.
The key areas of responsibility include:
Project & Task Management
- Drive marketing projects from planning through completion across all three brands.
- Build and maintain project plans, timelines, priorities, deliverables, and deadlines based on direction from the Marketing Director and project stakeholders.
- Assign, track, and follow up on tasks with internal team members and external partners.
- Lead regular status checks and project meetings to keep work on schedule.
- Identify delays, bottlenecks, dependencies, and potential issues and proactively resolve or escalate them when appropriate.
- Drive accountability by maintaining clear ownership and due dates for every deliverable.
- Create repeatable processes, checklists, and workflows to improve marketing execution.
Marketing Calendar Management
- Own and mMaintain the master marketing calendar across all three brands.
- Coordinate timelines for social media, digital marketing, reputation management, PR, recruiting campaigns, events, promotions, and other marketing initiatives.
- Plan campaigns and deliverables far enough in advance to reduce last-minute execution.
- Drive deadlines, reviews, and approvals between leadership, internal departments, and outside vendors.
Budget Management
- Maintain and track approved marketing budgets across brands, campaigns, and vendors.
- Monitor actual spending against budget and flag potential overages or pacing concerns.
- Maintain visibility into recurring marketing expenses and vendor commitments.
- Coordinate invoices, purchase approvals, and payment-related documentation with Finance and Accounting.
- Prepare regular budget updates, variance summaries, and decision-support information for the Marketing Director and leadership.
- Organize vendor cost comparisons and identify potential opportunities for improved efficiency or cost savings.
Vendor Management
- Serve as the primary day-to-day point of contact for marketing vendors and outside partners.
- Drive vendor deliverables, timelines, communication, and accountability.
- Coordinate vendor sourcing activities when additional capabilities or improved performance are needed.
- Collect and compare proposals, pricing, scopes of work, and service agreements for review by the Marketing Director and leadership.
- Track vendor contracts, renewal dates, commitments, and performance.
- Monitor vendors against agreed-upon expectations, timelines, and quality standards.
- Escalate vendor performance issues and prepare options or alternatives for leadership consideration.
Reputation Management
- Coordinate reputation-management activities across all three brands, including Google Business Profiles, online reviews and ratings, social media channels, review-generation initiatives, customer-feedback platforms, PR and media opportunities, and third-party reputation-management vendors.
- Monitor review activity, route reviews to the appropriate response owner, track response timeliness, and escalate sensitive or unresolved matters.
- Coordinate review-response workflows to ensure positive and negative reviews receive timely and appropriate attention.
- Compile recurring themes within customer feedback and communicate meaningful trends to leadership and Operations.
Social Media & Brand Coordination
- Coordinate social media calendars, publishing schedules, content approvals, and vendor deliverables across appropriate platforms.
- Partner with internal resources and external vendors responsible for content creation, posting, paid media, and community management.
- Monitor execution to ensure messaging and creative materials remain consistent with each brand's standards.
- Maintain an organized library of approved marketing materials, brand assets, photography, video, and other content.
- Drive the approval process before campaigns or content go live.
Recruiting & Employment Marketing
- Partner with the Recruiting team to coordinate recruitment marketing campaigns, job advertising, social media recruiting initiatives, career-related content, hiring events, employer-branding initiatives, and recruitment advertising vendors.
- Maintain an intake and prioritization process for open positions and locations requiring marketing support.
- Coordinate deadlines, budgets, messaging, creative development, and campaign execution with Recruiting and marketing partners.
- Track recruiting campaign progress and keep stakeholders aligned on priorities, deliverables, and next steps.
Public Relations & Communications
- Coordinate PR initiatives and day-to-day relationships with outside PR agencies and vendorsvendors and internal SME’s.
- Track media opportunities, press releases, community initiatives, awards, events, and other brand-building opportunities.
- Maintain a calendar of PR deadlines, deliverables, approvals, and opportunities.
- Coordinate information and approvals between leadership, subject-matter experts, and PR partners.
- Track resulting media coverage and PR activity.
Reporting & Performance Tracking
- Compile, maintain, and distribute regular marketing reporting for the Marketing Director and leadership.
- Coordinate with data owners and channel partners to collect timely and accurate KPI updates across all three brands.
- Track marketing spend, budget versus actual, campaign performance, leads and conversions, cost per lead and acquisition, website traffic, social media performance, review volume and ratings, reputation trends, recruiting campaign performance, vendor performance, and PR activity and media placements.
- Prepare concise weekly and monthly updates highlighting accomplishments, upcoming priorities, budget status, risks, challenges, decisions required, and accountable owners.
- Maintain reporting calendars, source documentation, and follow-up items to ensure leadership has consistent visibility into marketing performance and execution.
Qualifications:

- Strong budget-tracking, spreadsheet, reporting, and documentation skills.
- Working knowledge of digital marketing, social media, reputation management, recruiting marketing, PR, and vendor-supported marketing programs.
- Comfort operating in a fast-paced, multi-brand, cross-functional environment.
Preferred Qualifications
- Five or more years of experience in marketing project management, marketing operations, agency account management, or a comparable cross-functional role.
- Demonstrated experience managing simultaneous projects, budgets, vendors, calendars, approvals, and executive reporting.
- Advanced proficiency with project-management platforms and Microsoft Excel or Google Sheets.
- Experience coordinating work across internal teams, executives, agencies, and outside vendors.
- Experience in a regulated industry, healthcare environment, or multi-location organization is preferred.
Pay: $115,000-$125,000 per year.
Schedule: Monday through Friday on-site.
