Position Overview
The Admissions Visit and Event Specialist, reporting to the Assistant Director of Campus Visits and Events, assists in the coordination of on and off campus recruitment events. This person will also assist high-touch recruitment initiatives and visits through personal attention and service to prospective students and families during the campus visit. As the campus visit is the most important conversion and yield strategy, this position ensures the visit experience not only meets but exceeds expectations for prospective students and guests.ÂIn addition, the position supports the overall university recruitment efforts by providing recruitment support through participation in campus visit programming, conducting large and small group presentations, and meeting with prospective students and guests. Some evening and weekend work is required.
More than perhaps any other factor, the degree to which a university attracts and retains qualified students determines the success or failure of that institution. The Enrollment Management division is a key player in this activity and has a profound effect on the institution’s success. Enrollment Management (EM) includes the following functional units: Office of Undergraduate Admissions, Graduate Enrollment Management, Financial Aid and Scholarships, Office of the University Registrar, Student Lifecycle Technology, Enrollment Marketing Communications, and Enrollment Management Services. The division is committed to developing a data-informed, forward-looking, comprehensive enrollment strategy that enables the institution to pursue strategic goals in an integrated and intentional manner.
The Office of Undergraduate Admissions reports to the Vice Provost for Enrollment Management and is responsible for domestic and international undergraduate admissions for freshman and transfer students. The Office of Undergraduate Admissions coordinates the overall recruitment strategy for KU, including travel, high school, and community college relations, on and off-campus events, prospect and inquiry management, and application processing.

Job Description
50% - Visit and Event Planning and Execution- Plan and implement on-campus and off-campus events as determined by the Assistant and Associate Director of Campus Visits and Events.
- Develop event timelines, manage logistics (e.g., space, catering, technology), and collaborate with KU partners on programming and staffing and partners with the KU ambassador program on key pre-and post-event setup and campus tours.
- Create event registration forms, pre-and post-event communications, and track registrations within admissions CRM (Slate) for specific admissions events.
- Conducts program evaluation and incorporates feedback and results to enhance future programming efforts.
- Assists with coordination and/or creation of agendas, presentations, etc. to make sure visit and event preparation is complete.
- Event budget management and submission of event expenses.
- Creates communication and design support for presentations, publications and handouts for visits and events.
- Builds out content in event portals and Guidebook.
- Works with KU constituents (KU Endowment Association, KU Alumni, KU Athletics, the Provost, and Chancellor’s offices as well as other departments/units across campus) to identify prospective students to provide high-touch recruitment outreach and visit coordination. Participates as a host in prospective visit experiences as needed.
- Assists with the coordination of personalized prospective student visit experiences. This includes periodic requests for Saturday tours, and visits that fall outside the traditional daily visit realm.
- Since this position is primarily on campus, this position will present several times a month throughout the year as an active member of the admissions on-call team for daily visits.
- Serve as a resource supporting the daily campus visit program, including one-on-one meetings with prospective students and guests.
- Staffs targeted recruitment events that occur on-campus and off-campus (both in Kansas and out-of-state) as necessary.
- Other responsibilities assigned by the Assistant and Associate Director of Campus Visits and Events.
Position Requirements
- Driver’s license required or ability to obtain one at the time of appointment.
- Evening and weekend work, along with occasional travel, is required.
Required Qualifications
- High School diploma/GED equivalency and 4 years of relevant experience OR Associate's degree in communications, Public Relations, Education, or relevant field and 2 years of experience OR a Bachelor's degree in communications, Public Relations, Education, or relevant field.
- Experience that required effectiveness in public speaking or giving presentations in academic, volunteer, or professional settings as evidenced by application materials.
- Experience that required effective communication skills as evidenced by application materials.
- Experience that required project management and organization skills as evidenced by application materials.
- Competency in Microsoft Office (Word, Outlook, Excel, and PowerPoint) as evidenced by application materials.
Preferred Qualifications
- A graduate of KU or knowledge of KU academic programs, student services, and admissions processes as evidenced by application materials.
- Experience working with student populations such as first-generation, transfer, and non-traditional students as evidenced by application materials.
- Understanding of CRM philosophy and knowledge of Slate or other CRM technologies as evidenced by application materials.
- Experience creating and designing presentations and event materials with Adobe applications (Illustrator, Photoshop, InDesign), PowerPoint, Canva, etc.
- Experience that required learning new information and being adaptable while working independently to meet established deadlines and objectives.
- Experience that required excellent interpersonal skills, including effective communication and collaboration with campus partners through event planning and implementation as evidenced by application materials.
- Experience that required excellent attention to detail and successful management of multiple tasks simultaneously.
