Administrative Support Specialist – Stormwater & Vegetation Division
Location: 22211 US Hwy. 19, Clearwater, FL 33756
Schedule: Monday – Friday; 8:00 AM – 5:00 PM, Some flexibility with hours and remote work once fully trained.
Provideshigh-level administrative support to the Stormwater & Vegetation Division Director, serving as a key resource fordivision operations, planning, and coordination. This position works with ahigh degree of independence and uses extensive knowledge of departmental operations to coordinate administrative functions such asbudget, personnel, purchasing, payroll, finance, and asset management.
The role ensures assigned responsibilities are completedaccurately, efficiently, and in accordance with County policies, procedures, and deadlines, while alsodeveloping processes, supporting managers, and serving as backup administrative support to department leadership.
What Would You Do?
Primary job tasks:
- Maintains data bases, record systems, documents to coordinate workflow, maintain schedules, and meet quality requirements and other information on behalf of management.
- Coordinates, administers, and manages special projects, researches and prepares reports on administrative matters for associates, managers, and others.
- Coordinates clerical and administrative activities for Stormwater Vegetation Division.
- Compiles and analyzes data; prepares statistical and other reports for customers and managers.
- Provides information on department policies, procedures, and operations.
- Assists in development and updates of standards, policies and procedures.
- Prepares, edits and proofreads technical documents and develops standard document templates.
- Identifies and implements office productivity measures.
- Collects and compiles information from all sections of the division for presentation as a uniform document.
- Performs verification checks and approvals.
- Prepares or directs the preparation of documents, claims, department paperwork, requisitions, purchases, delivery of service, equipment, commodities, materials, and supplies.
- Provides information, assistance, and services to the general public, employees, and others in person, through computer business applications, by telephone, or by other forms of communication.
- Processes, codes, and maintains personnel, property control, purchasing, claims, and/or fiscal records; performs arithmetical calculations; compiles reports for manager's information.
- Performs related work as assigned or required.
What Do You Need to Have?
Experience:Clerical experience preparing, processing, and maintaining administrative records
Education:Degree in accounting, business administration, public administration, or related field.
Three (3) years of experience as described above.
Associate’s degree as described above and one (1) year experience.
An equivalent combination of education, training, and/or experience.
Additional Requirements:
Possessionand maintenanceof a valid State of Florida Driver’s License.
Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations.
- Remote Work Policy: This position requires employees to live within a 60-mile radius of Pinellas County and maintain the ability to report to the assigned worksite as needed. If you relocate outside the required 60-mile radius, you must receive advance approval from the County Administrator. Failure to meet this requirement may affect your continued eligibility for the position.
Highly Desirable:
Local Government Experience: Two (2) years of experience in local government or public works preferred.
Problem-Solving: Ability to analyze issues, gather information, identify solutions, and make recommendations.
Strategic Support: Ability to anticipate the needs of the Division Director, manage priorities, and proactively address issues.
Professional Judgment: Demonstrates discretion, sound judgment, and strong attention to detail when handling sensitive information.
Communication: Excellent written and verbal communication skills, with the ability to prepare reports, presentations, and correspondence and communicate information clearly and tactfully.
Technology: Proficiency with Microsoft Office, spreadsheets, databases, and other administrative software.
Organization: Ability to manage multiple priorities, track assignments, and meet deadlines.
Knowledge, Skills, and Abilities
Knowledge of laws, rules, regulations, policies, and procedures as applied to highly specialized departmental administrative processes connected with delivery of public services.
Knowledge of business English, spelling, arithmetic and bookkeeping standards.
Skill in operating personal computer and performs data processing functions including using available software packages, encoding data, report generation, data entry, retrieval and other specialized and routine computer operations.
Ability to plan, organize and manage work deadlines and develop effective office work procedures.
