We are seeking a professional and organized Administrative Assistant for our Happy Day Corporate Office to act as the first point of contact for our company. The ideal candidate will be responsible for providing a welcoming environment, managing the front desk, and assisting with a variety of administrative and clerical tasks. This role requires excellent communication, punctuality, a positive attitude, and customer service skills, with the ability to multitask and stay organized. This is a full-time position. The scheduled hours are 8 a.m. to 5 p.m., Monday – Friday with a 1 hour lunch.
Key Responsibilities
Administrative & Office Support
- Provide daily administrative support to management and staff.
- Answer incoming phone calls, respond to emails, and direct inquiries appropriately.
- Maintain organized filing systems, both electronic and physical.
- Prepare, edit, and distribute correspondence, reports, spreadsheets, and other documents.
- Schedule appointments, meetings, and coordinate calendars.
- Order and maintain office supplies and equipment.
- Assist with special projects and additional administrative tasks as assigned.
- Accurately enter, update, and maintain information in company databases and systems.
- Organize and maintain confidential employee, customer, and business records.
- Assist with preparing reports, tracking information, and maintaining spreadsheets.
- Ensure paperwork and documentation are completed accurately and on time.
- Serve as a professional and welcoming point of contact for employees, customers, and vendors.
- Respond to inquiries in a timely, courteous, and professional manner.
- Communicate important information between departments and management.
- Assist with resolving routine administrative and customer service concerns.
- Support and assist our Happy Day Local storefront
- Assist management with scheduling, planning, and coordinating daily operations.
- Support employee onboarding and administrative paperwork as needed.
- Help maintain company policies, procedures, and organizational standards.
- Identify opportunities to improve office efficiency and administrative processes.
- High school diploma or equivalent required.
- Previous administrative, clerical, or office experience preferred.
- Proficiency in Microsoft Office, including Word, Excel, Access, and Outlook.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to prioritize tasks and meet deadlines.
- Strong problem-solving skills and ability to work independently.
- Ability to maintain confidentiality and handle sensitive information professionally.
