
Administrative Assistant - 1 Position
JOB DUTIES AND RESPONSIBILITIES
A. ADMINISTRATIVE DUTIES (85%)
Greet and assist people coming to the office
Perform receptionist duties
Ensure proper filing of documents on time (NGO Bureau, URA, District, Sub-County)
Assist in preparing reports and documents to various entities (FIA, PDPO, NGO Bureau, District, etc.)
Type documents as needed
Prepare contracts for service providers
Track location of specific assets with log, including staff signatures
Review mileage books for completeness and accuracy
Assist with monitoring fleet
Record and keep directory of contacts (local stakeholders, service providers, businesses, etc.)
Track and update physical inventory count schedules
Help carry out physical inventory
Print, scan, and photocopy documents
Prepare purchase requests as needed
Perform purchases of foodstuffs, office and workshop supplies
Data entry as needed
Ensure equipment (motorcycles, generator, etc.) is maintained and checked every week by a technician
Assist the Administrative Manager and other colleagues as needed
B. EVENTS, MEETINGS, AND COMMUNICATION (10%)
Coordinate events (such as meetings with stakeholders, staff parties, etc.)
Type and share action points from team meetings
Perform secretary duties for meetings where assigned
Type minutes from stakeholder meetings
C. GENERAL (5%)
Prepare weekly reports and work plans at least the Friday before each work week
Participate in continuous professional development and activities for learning and idea generation

QUALIFICATIONS AND COMPETENCIES
Minimum qualification: Certificate in Human Resource Management, Business Administration, Information Technology (IT), Public Administration and Management or in a related field
Ability to ride motorcycle
Agree with the Christian mission, values, and objectives of Ignite Change
Must be effective in written and verbal communication in English
Excellent communication, interpersonal, and organizational skills
Ability to complete tasks efficiently and in a timely manner, with minimal or no prompting
Ability to work a flexible schedule, including Saturdays
Flexible to adapt to the ever-changing environment and growing business
Self-motivated and innovative
EXPERIENCE
At least 2 years’ experience in an administrative role (NGO or education sector experience is an added advantage).
