Responsibilities
Financial Management
- Maintain accurate financial records in accordance with Generally Accepted Accounting Principles (GAAP) and nonprofit accounting standards.
- Manage the organization’s general ledger, journal entries, and account reconciliations.
- Reconcile bank and credit card accounts monthly.
- Monitor organizational cash flow and support financial planning.
Grant and Contract Accounting
- Track grant expenditures across multiple funding sources.
- Ensure compliance with grant and contract financial requirements.
- Work with program managers to track budget vs. actual expenses.
- Prepare financial reports required by funders and government contracts.
Financial Reporting
- Prepare monthly financial reports including:
- Statement of Activities (Profit & Loss)
- Balance Sheet
- Budget vs. Actual Reports
- Cash Flow reports
- Provide financial summaries for board meetings and leadership review.
Budgeting and Financial Planning
- Assist the Executive Director with development of annual program and organizational budgets.
- Monitor budget performance and flag potential financial risks.
Compliance and Internal Controls
- Maintain and strengthen internal financial controls and accounting procedures.
- Support preparation of IRS Form 990 and annual financial audits.
- Ensure compliance with nonprofit financial regulations and grant requirements.
Accounts Payable and Receivable
- Process invoices, payments, and expense reimbursements.
- Track receivables including grants, contracts, and donations.
- Maintain financial documentation and audit-ready records.
Financial Systems
- Manage accounting systems, credit card system and payroll system.
- Support implementation of financial policies including:
- Procurement policy
- Cash receipt procedures
- Financial contingency planning
- Operating reserve policies
Work closely with the Bookkeeper
- Collaborate closely with the organization’s bookkeeper to ensure accurate recording of financial transactions, timely reconciliations, and proper classification of expenses.
- Review bookkeeping entries regularly to ensure compliance with nonprofit accounting standards and grant requirements.
- Provide guidance and oversight to ensure financial records support accurate reporting, audits, and organizational financial transparency.
Qualifications
Education
Bachelor’s degree in Accounting, Finance, or related field.
Experience
- Minimum 3–5 years of accounting experience.
- Experience with nonprofit or grant accounting preferred.
Skills and Competencies
- Knowledge of nonprofit financial management and grant compliance
- Strong attention to detail and organizational skills
- Ability to manage multiple funding sources and deadlines
- Strong analytical and financial reporting skills
- Proficiency in Aplos, Excel, and financial reporting tools
- Ability to work collaboratively with program managers and leadership
Preferred Qualifications
- CPA certification or progress toward CPA
- Experience with government grants and nonprofit audits
- Experience working with community-based or social service organizations
