The Technical Facilities Coordinator provides assistance to the facility management team to ensure successful service delivery of the client facility needs. Directly supports the facility management team with on-going facility and team related responsibilities.Â

Essential Responsibilities:Â
Provide general overall facility management services, including continuous monitoring of office/facilityÂ
Address client inquiries and concerns ensuringtimely and quality issue resolution and service deliveryÂ
Follow up with clients to ensure customer satisfactionÂ
Respond to all facility inquiries and complaints, assessproblems and take the necessary corrective actionÂ
Remain knowledgeableregarding all operational aspects of building systemsÂ
Coordinate with outside contractors for the service and repairs of equipmentÂ
Follow protocol for effective building-specific maintenance and safety proceduresÂ
Maintain on-going communication with contractors, client, and teamÂ
Assist with site inspection within the assigned building portfolioÂ
Create work orders and assign work orders to the engineering staff, subcontractors, and vendorsÂ
Report on open and closed work orders and check the status of open work orders with the assigned partyÂ
Request, review, andsubmit work orders, bids, and proposals from vendorsÂ
Verify final invoice pricing and process paymentsin a timely mannerÂ
Assist in the monitoring and assessment of vendor performanceÂ
Train vendors on work order and billing proceduresÂ
Manage complex work orders such as environmental issues and disaster recoveryÂ
Manage service and performance of vendors and landlords fortimely completion of jobsÂ
Create and recordappropriate written communication between all partiesÂ
Schedule and document maintenance and repairs on building equipmentÂ
Communicatefrequently with client, landlords, and vendors to resolve issues and provide project status updatesÂ
Provide process and procedures training and direction to new associatesÂ
Coordinatespecial events in support of clientÂ
Assist with measuring and reporting key performance indicators against service level agreementsÂ
Provide facilities helpdesk services on behalf of the client(s) andmonitor internal/external workflow for all facilities cases to ensure consistent quality of service and work productÂ
Coordinate planned and unplanned maintenance activities for building systems and equipment.Â
• Review maintenance work orders to ensure they are completed accurately, meet quality standards, andcontain all required documentation.Â
• Support CMMS administration bymaintainingaccurate asset data, equipment records, and preventive maintenance schedules.Â
•Maintain a working knowledge of facility systems, including HVAC, electrical, plumbing, building automation, fire and life-safety systems, lighting, and emergency power.Â
•Assist with inspections of mechanical rooms, electrical rooms, roofs, utility areas, and occupied spaces toidentify issues and verify system conditions.Â
• Read and understand basic drawings, floor plans, equipment schedules, control diagrams, and manufacturer manuals.Â
• Ensure contractor work is documented correctly and that issues, recommendations, follow-up actions, and technical documentation are properly entered into the CMMS.Â
• Support contractor safety programs by verifying compliance with site safety requirements and established work practices.Â

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
