Job Description

Purpose of Role

The Admissions Officer supports the admissions process by managing and nurturing leads to maximize student enrolments. Working closely with the Head of Admissions, this role handles enquiries, processes applications, coordinates and supports interviews and tours, and maintains records to ensure a seamless, professional experience for prospective families. Strong organisational and communication skills are essential to fostering a welcoming environment that reflects the school’s commitment to excellence in education.

The Admissions Officer reports solid into the Head of School and has a functional reporting to the Regional Cluster Head of Admissions.

Key Responsibilities

  • Manage Admissions Enquiries: Serve as the first point of contact for prospective families, responding to enquiries via phone, email, and in-person visits, and providing information on the school’s programmes, admissions process, and requirements—all in alignment with ISP admissions policies, established processes, and high-quality standards as defined in the official ISP protocols.
  • Coordinate School Tours and Interviews: Schedule and organize campus tours, student interviews, and meetings with key staff members to ensure a welcoming experience for prospective families. When needed, support the Head of Admissions in conducting family tours, delivering the same high-quality experience, and demonstrating a thorough understanding of the school’s academic offerings.
  • Application Processing: Handle the intake and processing of student applications, ensuring all necessary documents are submitted and records are accurately maintained in the admissions database.
  • Maintain Admissions Database: Keep the admissions system updated with applicant information, ensuring data accuracy and integrity, and generating reports as needed for admissions and leadership teams.
  • Event Support: Assist in the planning and execution of admissions events, including Open Days, information sessions, and orientation programmes for prospective families.
  • Communication with Stakeholders: Liaise with prospective families, teachers, and finance / administrative staff to facilitate the admissions process and ensure timely communication regarding application status and next steps.
  • Document Preparation and Filing: Prepare admissions correspondence, offer letters, and welcome packs, and maintain an organised filing system for all admissions-related documents.
  • Assist with Enrolment Process: Support new student onboarding, including the collection of enrolment paperwork and coordination of student transition activities.
  • Collaborate with Marketing: Work closely with the marketing team to provide relevant admissions information for promotional materials and school events.

Skills, Qualifications and Experience

  • Bachelor’s Degree from a relevant field (business administration or similar).
  • Multilingual in French and English.
  • Familiarised with Casablanca (already living there and with demographical, social, and cultural knowledge).
  • Demonstrable experience (1 to 3 years) in the commercial “service” sector (incl. Customer Service departments).
  • Strong data management, analytical skills, and proficiency in technology for accurately organising, analysing admissions data, generating reports, and ensuring compliance with data regulations.
  • Experienced in managing a CRM system (HubSpot or Salesforce, preferred).
  • Articulate, communicative, and able to present information in a concise and professional manner.
  • Organisation skills: well organized and able to prioritise tasks.
  • Excellent skills in Customer Experience.
  • Critical thinking.
  • Ability to initiate opportunities for self and others and to find solutions to ensure tasks are completed within specified timescales.
