We are seeking an experienced, detail-oriented Payroll Specialist to join our headquarters accounting team in Canby, Oregon. This is a vital role responsible for ensuring high-volume, multi-state payroll accuracy and maintaining employee satisfaction across our national operations.

Role Overview

Reporting to the Payroll Manager, the Payroll Specialist shares high-volume responsibility for processing weekly in-house payroll for 800 to 900 multi-state, multi-union employees. Operating in an active collaborative office environment, you will manage timesheet audits, cost coding, union benefit reporting, tax remittances, and general payroll accounting duties with precision and timeliness.

Key Responsibilities

  • Payroll Processing & Cost Coding: Audit weekly timesheets for completeness and accurately process multi-state, multi-union cost-coded payroll runs.
  • Union Compliance & Reporting: Apply complex multi-union Collective Bargaining Agreements (CBAs) and prepare, review, and submit monthly union reporting packages.
  • Tax & Regulatory Compliance: Prepare and remit weekly, monthly, and quarterly federal, multi-state, and local payroll taxes while ensuring strict alignment with wage and hour laws.
  • Reconciliation & Problem Resolution: Identify and resolve outstanding payroll, wage, or accounting discrepancies in a timely, solution-oriented manner.
  • Employee & Stakeholder Service: Provide clear, responsive customer service to internal employees, project management, union reps, and external agencies regarding payroll inquiries.

Qualifications & Requirements

  • Experience Level: 3+ years of progressive payroll and accounting experience. In-house, full-cycle construction and multi-union payroll processing background is highly preferred.
  • Regulatory & Tax Knowledge: In-depth understanding of federal, multi-state, and local payroll tax principles; familiarity with Davis-Bacon and state prevailing wage requirements is a major plus.
  • Technical & Office Skills: Proficiency in MS Office (Excel, Outlook) with strong 10-key by touch, fast data entry skills, and numerical accuracy.
  • Core Competencies: High analytical aptitude, strong time management, prioritizing skills, and the ability to maintain composure and accuracy in a fast-paced environment.
  • Location & Dependability: Must reside within a reasonable driving distance of our Canby, OR headquarters or be willing to relocate. Reliable, punctual, and dependable attendance is required.

What We Offer

  • Competitive Compensation: Salary commensurate with experience and qualifications.
  • Comprehensive Benefits: 100% employer-paid medical, dental, and vision โ€” for you and your qualified spouse and dependents.
  • Retirement & PTO: 401(k) plan, paid time off (PTO), and holiday pay.
  • Career Leadership: Direct visibility with executive leadership.
