About us:
Wifinity was founded in 2007 to solve a problem - our armed forces were struggling with reliable connectivity. While living in barracks, often in remote locations, ordering a landline and booking in an engineer just wasnât an option.
And that problem isnât exclusive to the military, either. Students living in University accommodation, families visiting holiday resorts, or living in shared accommodation and retirement communities.
Conventional home broadband doesnât always work for them.

The opportunity:
The Bid Coordinator plays a critical role within the Business Development and Sales function, supporting the successful delivery of high-quality, compliant bid and tender submissions across telecoms and connectivity opportunities. Working across internal technical, commercial, and operational teams, the role ensures that all bid activities are coordinatedÂ
effectively, driving timely, professional responses to RFPs, ITTs, RFQs, and framework submissions, ultimately contributing to revenue growth and contract wins.Â
Key areas of focus:
Bid & Tender CoordinationÂ
- Manage the end-to-end coordination of bid submissions, from opportunity qualification through to final submissionÂ
- Track tender portals and download / distribute documentation to relevant stakeholdersÂ
- Develop and manage bid plans, timelines, and submission schedules to ensure deadlines are metÂ
- Coordinate inputs from Sales, Technical, Finance, Legal, and Operations teamsÂ
Proposal Development & Content ManagementÂ
- Support the development, writing, and structuring of high-quality bid responsesÂ
- Collate and integrate inputs from subject matter experts into coherent submissionsÂ
- Maintain and update bid content libraries (case studies, CVs, standard responses)Â
- Ensure consistency of messaging across telecoms solutions (e.g. WAN, LAN, WiFi, IoT, managed services)Â
Systems, Technology and AIÂ
- Manage and maintain bid project structures and documentation within the organisationâs bid management systems, ensuring consistency and accessibility for all stakeholdersÂ
- Ensure alignment and accuracy of bid and opportunity data across CRM and bid management tools, supporting reliable reporting and governanceÂ
- Leverage AI-enabled tools to analyse tender documentation, generate insights, and support effective opportunity qualification and bid progressionÂ
- Support the adoption and continuous improvement of digital tools and AI capabilities to enhance bid efficiency, quality, and overall team productivityÂ
Compliance & Quality AssuranceÂ
- Review tender requirements to ensure full compliance with client specificationsÂ
- Proofread and edit submissions to ensure accuracy, clarity, and professionalismÂ
- Maintain version control and document management processesÂ
- Ensure submissions meet all formatting, commercial, and regulatory requirementsÂ
Stakeholder & Process ManagementÂ
- Act as the central point of coordination across bid teamsÂ
- Schedule and facilitate bid meetings, reviews, and governance checkpointsÂ
- Monitor progress, track actions, and escalate risks to delivery timelinesÂ
- Support Bid Managers with reporting and pipeline trackingÂ
Continuous ImprovementÂ
- Maintain and improve bid processes, templates, and governance standardsÂ
- Analyse bid outcomes (win/loss) and support lessons learnedÂ
- Contribute to development of best practice across telecoms bid capability
About you:
EssentialÂ
- Experience in bid coordination, proposals, or tender management (ideally telecoms / IT services / infrastructure)Â
- Strong organisational and project management skills with ability to manage multiple deadlinesÂ
- Excellent written and verbal communication skillsÂ
- High attention to detail and strong document control capabilityÂ
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and document management toolsÂ
- Ability to work under pressure in a deadline-driven environmentÂ
Your experience:
- Experience in UK public sector procurement (frameworks, DPS, PQQs, ITTs)Â
- Exposure to telecoms solutions (e.g. connectivity, managed WiFi, mobile infrastructure, fibre networks)Â
- Familiarity with CRM and bid management tools (e.g. SharePoint, Salesforce)Â
- Understanding of commercial models and pricing inputsÂ
