About us:
Wifinity was founded in 2007 to solve a problem - our armed forces were struggling with reliable connectivity. While living in barracks, often in remote locations, ordering a landline and booking in an engineer just wasn’t an option.

And that problem isn’t exclusive to the military, either. Students living in University accommodation, families visiting holiday resorts, or living in shared accommodation and retirement communities.

Conventional home broadband doesn’t always work for them.

Wifinity is different. We offer the same benefits as traditional broadband, such as super-fast speeds, WiFi, and secure and private networks, but none of the downsides. We even offer Pay As You Go and flexible contracts, so customers only pay for what they need without hefty penalties or long contract terms.

The opportunity:
The Bid Coordinator plays a critical role within the Business Development and Sales function, supporting the successful delivery of high-quality, compliant bid and tender submissions across telecoms and connectivity opportunities.Ā Working across internal technical, commercial, and operational teams, the role ensures that all bid activities are coordinatedĀ 
effectively, drivingĀ timely, professional responses to RFPs, ITTs, RFQs, and framework submissions,Ā ultimately contributingĀ to revenue growth and contract wins.Ā 

Key areas of focus:
Bid & Tender CoordinationĀ 

  • Manage the end-to-end coordination of bid submissions, from opportunity qualification through to final submissionĀ 
  • Track tender portals and download / distribute documentation to relevant stakeholdersĀ 
  • Develop and manage bid plans, timelines, and submission schedules to ensure deadlines are metĀ 
  • Coordinate inputs from Sales, Technical, Finance, Legal, and Operations teamsĀ 

Proposal Development & Content ManagementĀ 

  • Support the development, writing, and structuring of high-quality bid responsesĀ 
  • Collate and integrate inputs from subject matter experts into coherent submissionsĀ 
  • Maintain and update bid content libraries (case studies, CVs, standard responses)Ā 
  • Ensure consistency of messaging across telecoms solutions (e.g. WAN, LAN,Ā WiFi, IoT, managed services)Ā 

Systems, Technology and AIĀ 

  • Manage andĀ maintainĀ bid project structures and documentation within the organisation’s bid management systems, ensuring consistency and accessibility for all stakeholdersĀ 
  • Ensure alignment and accuracy of bid and opportunity data across CRM and bid management tools, supporting reliable reporting and governanceĀ 
  • Leverage AI-enabled tools to analyse tender documentation, generate insights, and support effective opportunity qualification and bid progressionĀ 
  • Support the adoption and continuous improvement of digital tools and AI capabilities to enhance bid efficiency, quality, and overall team productivityĀ 

Compliance & Quality AssuranceĀ 

  • Review tender requirements to ensure full compliance with client specificationsĀ 
  • Proofread and edit submissions to ensure accuracy, clarity, and professionalismĀ 
  • Maintain version control and document management processesĀ 
  • Ensure submissions meet all formatting, commercial, and regulatory requirementsĀ 

Stakeholder & Process ManagementĀ 

  • Act as theĀ central pointĀ of coordination across bid teamsĀ 
  • Schedule andĀ facilitateĀ bid meetings, reviews, and governance checkpointsĀ 
  • Monitor progress, track actions, and escalate risks to delivery timelinesĀ 
  • Support Bid Managers with reporting and pipeline trackingĀ 

Continuous ImprovementĀ 

  • Maintain and improve bid processes, templates, and governance standardsĀ 
  • Analyse bid outcomes (win/loss) and support lessons learnedĀ 
  • Contribute to development of best practice across telecoms bid capability

About you:
EssentialĀ 

  • Experience in bid coordination, proposals, or tender management (ideally telecoms / IT services / infrastructure)Ā 
  • Strong organisational and project management skills with ability to manage multiple deadlinesĀ 
  • Excellent written and verbal communication skillsĀ 
  • High attention to detail and strong document control capabilityĀ 
  • ProficiencyĀ in Microsoft Office (Word, Excel, PowerPoint) and document management toolsĀ 
  • Ability to work under pressure in a deadline-driven environmentĀ 

Your experience:

  • Experience in UK public sector procurement (frameworks, DPS, PQQs, ITTs)Ā 
  • Exposure to telecoms solutions (e.g. connectivity, managedĀ WiFi, mobile infrastructure, fibre networks)Ā 
  • Familiarity with CRM and bid management tools (e.g. SharePoint, Salesforce)Ā 
  • Understanding of commercial models and pricing inputsĀ
