Bookkeeping Assistant | with AU Bookkeeping Experience

Overview of the role
The Bookkeeping Assistant will work directly with the BAS coordinator to manage day-to-day bookkeeping needs, maintain accurate financial records in Xero, and assist with preparing and reviewing Business Activity Statements (BAS’). You will working collaboratively with our accounting and advisory team to deliver a seamless client experience.
Main duties include:
Xero & Cloud Accounting
- Set up and maintain client files within Xero, including the chart of accounts, bank feeds, and integrations •
- Reconcile bank and credit card accounts on a regular and timely basis
- Process accounts payable and accounts receivable transactions
- Manage payroll processing through Xero Payroll, including STP reporting
- Troubleshoot Xero issues and provide guidance to clients on Xero best practices
- Assist clients with Xero onboarding, training, and ongoing support
Business Activity Statements
- Prepare, review and lodge monthly, quarterly, and annual BAS for a portfolio of clients
- Ensure accurate GST coding and treatment of transactions in Xero
- Identify and resolve GST discrepancies and coding errors prior to lodgement
- Liaise with the Australian Taxation Office on BAS-related matters where required
General Bookkeeping
- Maintain accurate and up-to-date financial records for a diverse client portfolio
- Process and reconcile payroll, superannuation, and PAYG Withholding obligations
- Assist with the preparation of management reports and month-end schedules
- Maintain fixed asset registers and depreciation schedules as required
- Support the accounting team with year-end workpaper preparation and tax compliance
- Communicate proactively with BAS coordinator regarding bookkeeping queries and outstanding items
Practice & Administration
- Manage client tasks, workflows, and deadlines through Karbon (preferred)
- Maintain accurate time records and job notes within the practice management system
- Adhere to internal quality control and file management standards
- Contribute to the continuous improvement of bookkeeping processes and workflows
Essential
- Minimum 3 years’ experience in a bookkeeping or similar role
- Demonstrated proficiency in Xero - Xero Advisor Certification is highly regarded
- Strong working knowledge of GST and BAS preparation requirements under Australian tax law
- Experience processing payroll and Single Touch Payroll (STP) reporting
- High attention to detail with a commitment to accuracy and compliance
- Excellent time management skills with the ability to manage multiple clients and deadlines simultaneously
- Strong written and verbal communication skills
- Ability to work both autonomously and as part of a collaborative team
Preferred
- Experience using Karbon for practice management, workflow, and client communication
- Familiarity with the Tax Agent Portal
- Certificate IV in Accounting and Bookkeeping or equivalent qualification
- Experience in a multi-client accounting practice or professional services environment
