About the Role We are seeking a highly organized, proactive, and detail-orientedExecutive Assistant (EA) to provide comprehensive administrative and operational support to our executive leadership team. In this role, you will serve as a critical gatekeeper and strategic partner, managing complex schedules, streamlining communications, and ensuring daily operations run seamlessly. The ideal candidate thrives in a fast-paced environment, possesses exceptional problem-solving skills, and maintains the highest level of confidentiality.

Key Responsibilities

  • Calendar & Schedule Management: Strategically manage complex corporate calendars, coordinate high-level meetings, and resolve scheduling conflicts proactively.
  • Communication & Liaison: Serve as the primary point of contact for internal and external stakeholders; draft, proofread, and manage confidential correspondence and executive memos.
  • Meeting & Event Coordination: Organize leadership meetings, prepare agendas, record accurate meeting minutes, and track follow-up action items.
  • Project & Task Tracking: Monitor ongoing administrative projects, manage executive expense reports, and ensure leadership deadlines are consistently met.
  • Information Management: Maintain secure, organized digital filing systems and handle sensitive corporate information with ultimate discretion.

Requirements

  • Proven experience as an Executive Assistant, Assistant Practice Manager, or similar senior administrative role.
  • Exceptional written and verbal communication skills, with a strong emphasis on professional etiquette.
  • Advanced proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets) and task management tools.
  • Outstanding organizational and time-management skills, with a proven ability to prioritize tasks independently.
  • Strong problem-solving abilities and a calm demeanor under tight deadlines or changing priorities.
  • Absolute integrity and experience handling highly confidential corporate or medical data.
