Job Overview

This position is responsible for managing employee leave cases from initiation through closure, ensuring full compliance with applicable federal, state, and local regulations as well as company policies. This role serves as the primary point of contact for employees on leave, providing guidance, timely communication, and support throughout the process. The position partners closely with HR, managers, healthcare providers, and state agencies to ensure accurate documentation, smooth case progression, and a seamless return‑to‑work experience.

Job Description

Minimum Qualifications:
1. Bachelor's degree in Human Resources, Business Administration, or a related fieldOR;
Associate’s degree in Human Resources, Business Administration, or a related fieldAND Two (2) years of Human Resources or relevant business experiencewith at least one (1) year of leave of absence case management experienceOR;
High School Diploma or equivalentAND Four (4) years of Human Resources or relevant business experiencewith at least one (1) year of leave of absence case management experience.

Preferred Qualifications:
1. Experience supporting employees through complex leave scenarios (intermittent leave, extensions, ADA accommodations

2. Experience with Workday.

3. Experience with UKG Timekeeping.

4. Experience with leave of absence claims management technology (i.e. Pulpstream, Absensesoft, etc.).

5. Experience with Massachusetts Paid Family and Medical Leave (MA PFML).

Duties and Responsibilities: The duties and responsibilities listed below are intended to describe the general nature of work and are not intended to be an all-inclusive list.  Other duties and responsibilities may be assigned.

1. Manages individual leave cases from initiation to closure using Technology, ensuring compliance with applicable laws and company policies.

2. Reviews the employee's leave request details and verify eligibility and accrued leave balances, based on Company and FML requirements.

3. Acts as the primary point of contact for employees throughout the leave process, providing clear, timely communication and support.

4. Coordinates with healthcare providers, legal teams, and HR to gather necessary documentation for leave approvals and review documentation.

5. Uploads the required documentation to the Massachusetts Department of Family and Medical Leave (DFML) portal and respond to state inquiries.

6. Monitors leave timelines, track case progression, and ensure timely follow-ups with employees regarding status of their claim, extensions, or return-to-work plans.

7. Responsible for accurate and timely completion of timekeeping and absence records in Workday and/or UKG Timekeeping systems.

8. Responds to timekeeping inquiries related to leave usage, coding and pay.

9. Responds to carrier inquiries and ensure accurate information is provided.

10. Addresses employee concerns related to leave, including eligibility, pay, and benefits during absence.

11. Monitors technology for notifications of any additional requests from DFML and respond promptly.

12. Maintains accurate records of leave cases in technology for auditing and reporting purposes.

13. Collaborates with managers and employees to ensure smooth transitions for employees returning from leave and update the RTW date in the system.

14. Escalates complex, overlapping, or accommodation-related cases toLeave Administration Consultant or Senior ADA Specialist based on defined criteria.

15. Meets established service level agreements (SLAs) for case processing, documentation turnaround, and employee communication.

Physical Requirements:

1. Frequent sitting, occasional standing & walking, and lifting of 5-10 lbs.  

2. Mental requirements will be intense at times with involvement in many concurrent multi-faceted projects.

3. Requires manual dexterity using fine hand manipulation to operate a computer keyboard or related equipment

4. Requires ability to see computer screen, monitoring equipment and reports. 

Skills & Abilities:

1. Knowledge in Leave Administration, HR Operations, HR Service Delivery, Benefits, and HRIS.

2. Familiarity with federal and state disability and paid family leave laws (i.e., ADA, FMLA, PFML, Parental Leave, Workers Compensation, and other state/local regulations).

3. Excellent communication and customer‑service orientation.

4. Ability to manage sensitive and confidential information.

5. Ability to interpret policies, documentation, and eligibility rules.

6. Strong organizational skills with ability to manage multiple cases simultaneously in a deadline driven environment.

7. Growth mindset with a preference to understand the “why” behind policies and can adjust as regulations evolve.

8. Flexible and collaborative approach and able to shift priorities, absorb new information quickly, and work effectively in a changing environment.

9. Strong analytical skills with the ability to interpret leave balances, eligibility rules, and documentation

10. High level of confidentiality and ability to effectively communicate with employees at all levels.

11. Ability to diagnose a problem and lead correction efforts through effective communication and efficient execution.

12. Possess a strong sense of urgency as part of the daily work style.

13. Proficient in Microsoft Outlook, Teams, and Excel.

Job Profile Summary

This role focuses on supporting the design, development, and implementation of human resource programs and policies, including recruitment, training and development, compensation and benefits, mobility, talent acquisition, diversity, talent management & organization development and employee/labor relations. In addition, this role focuses on performing the following leave of absence duties: Designs, implements, and administers Tufts Medicine’s leave of absence programs. Responsibilities also include program design, communications, vendor partnerships, and managing solutions that align with Tufts Medicine's strategies to engage and retain talent. This role is also accountable for working collaboratively with leaders, legal, and key stakeholders to ensure compliance with all regulatory aspects of leave of absence and related policies. An organizational related support or service (administrative or clerical) role or a role that focuses on support of daily business activities (e.g., technical, clinical, non-clinical) operating in a “hands on” environment.  The majority of time is spent in the delivery of support services or activities, typically under supervision. An experienced level role that requires basic knowledge of job procedures and tools obtained through work experience and may require vocational or technical education.  Works under moderate supervision, problems are typically of a routine nature, but may at times require interpretation or deviation from standard procedures, and communicates information that requires some explanation or interpretation.
