World Vision International Nepal’s one-year Traineeship Program, running from January to December, provides fresh Nepali graduates with practical work experience, professional development, mentoring, and opportunities to contribute to WVI Nepal’s work while gaining valuable skills and experience for their future careers.
The main purpose of the P&C Trainee is to support the effective functioning of the People & Culture (HR) Department. The trainee will have the opportunity to learn from allfunctions of the department, including systems administration,recruitment and onboarding,maintaining employee records, supporting employee engagementactivities and preparing HR documents.Â
The traineeship provideshands-on experiencefor a recent graduate to start their career in Human Resources (HR), working for an international NGOwhile developing organizational and interpersonal skills.They will havetheopportunity to learn more about World Vision International Nepal and contribute to the organization’s strategic goal of working with the most vulnerable children and families.Â
MAJOR RESPONSIBILITIES
Ensure the proper documentation ofend-to-end employee cycle processes Â
Creation and maintenance of digital staff filesandemployment paperworkÂ
Maintain proper filing system
Provide administrative support to ensureemployee’s information (onboarding, exit docs) is in placeÂ
Ensurethe requireddocuments are in placebefore andafteronboarding ofnew staffÂ
Prepare all documents for exitingstaff, including administrative work (e.g. printing letters, certificates, etc.)Â
Ensure all documents are in place with 100% accuracy as  per the checklistÂ
Ensure new hirescomplete the orientation within 45 days of their joining dateÂ
Support to deliverhigh quality end-to-end recruitment processes Â
Schedule and inform candidates for the written test and interviewsÂ
Support in conducting writtentest Â
Conduct pre-employment checks including references, identity checks, and qualification checks.Â
Providetimely communication to the candidates, such as regret letters.Â
Timely coordination and communication with the relevant stakeholders (Hiring Manager, P&CTeam and Candidates)for the written and interview assessmentÂ
Support the administration of written assessments, including the coding and decoding of answer sheets, ensuring confidentialityof the processÂ
Conduct pre-employment checks, including references,Block Party Screening, Police clearance, and otherqualification checks.Â
Team Support and Customer ServiceÂ
Ensure the People & Culture Intranet site is up to date withappropriate information,forms and resource toolsÂ
Supportin handling medical claims by coordinating with service providers and employees to ensuretimely communication,accurate processing of claims and enrollments, and efficient resolution of insurance-related queries.Â
Work with peers to manage workloads and support achievement of department objectives Â
Identify, build relationships and work with key internal and externalstakeholders to ensure effective delivery of support services and informationÂ
Contact point for People & Culture generalenquires, directed toappropriate teammember for response Â
Take initiative and be proactive inidentifying and resolving the needs of the People and Culture teamÂ
Contribute to People & Culture projects as agreed with supervisorÂ
Ensure systematic P&C processes for efficient operationsÂ
Provide end user support for P&C Systems
Demonstrate personal and professional growthÂ
Spend time learning specific skills and capabilities to enhance the capacity indifferent functions under People and Culture DepartmentÂ

KNOWLEDGE/QUALIFICATIONS FOR THE ROLEÂ
Required Education, training, license,registration and certificationÂ
Bachelor’s Degree in Business, Management, Human ResourceManagement or the relevant fieldÂ
Basic knowledge of administrationÂ
Preferred Knowledge and QualificationsÂ
Strong clerical, computing andorganizational skills, in particular use of Microsoft Office Programs.Â
Knowledge of team administration and business processesÂ
Proficient written and verbal communication skills in both English and Nepaliincluding across culturesÂ
