We are seeking an exceptionally motivated, results-drivenVirtual Patient Care Coordinator & Lead Specialist to support a high-growth, out-of-network private dental practice. This role is uniquely structured for a dedicated administrative professional who thrives on database growth and patient outreach.
You will serve as our dedicatedOutbound Growth Engine. Your primary focus will be mining our existing database to reactivate overdue recall patients and aggressively following up on a robust pipeline of digital marketing leads. Your goal is to maximize provider production and keep our hygiene chairs completely filled.
Core Responsibilities:
Outbound Growth & Patient Activation (Primary Focus)
- Database Reactivation: Systematically work through a robust, 30-page patient recall backlog to reconnect with inactive patients and get them back on the schedule.
- Marketing Lead Conversion: Take complete ownership of a high-volume pipeline containing 3,000+ digital marketing leads, utilizingFuse EMR and theMango Voice system to rapidly call, text, and email prospects.
- Hygiene Schedule Optimization: Proactively book routine cleanings, deep cleanings, and preventative care appointments to keep our full-time and part-time hygiene chairs completely optimized.
- Treatment Presentation Support: Identify patients with outstanding, uncompleted treatment plans (including high-value services like implants, full-mouth cases, wisdom teeth, and clear aligners) and guide them to book their procedures.
Out-of-Network Insurance Coordination
- OON Benefits Verification: Perform rigorous front-end insurance eligibility and breakdown checks for out-of-network PPO plans and specific insurance payer lines.
- Financial Transparency: Accurately document patient insurance profiles within Fuse EMR so the on-site team can seamlessly present clear out-of-pocket estimations to patients.
- U.S. Dental Domain Expertise: Minimum 2–3+ years of administrative front-office experience working inside a U.S.-based dental practice.
- Advanced Lead Management: Proven experience handling high-volume outbound calling, lead tracking, and converting digital marketing inquiries into booked appointments.
- Out-of-Network (OON) Literacy: Thorough understanding of how to verify out-of-network dental benefits, fee schedules, and commercial PPO maximums.
- Phonetic Clarity: Flawless verbal and written English communication skills. Must possess an exceptionally warm, professional, and easy-to-understand phone presence.
- Remote Workspace: A secure, completely silent home office environment equipped with high-speed internet, a modern computer setup, and a professional noise-canceling headset.
Strongly Preferred Experience - Direct, hands-on operational experience usingFuse EMR and theMango Voice platform.
- Prior experience collaborating with external dental marketing agencies (e.g., managing lead flows from Facebook/Google Ads).
- A solid baseline understanding of specialized dental procedures, specifically dental implants, surgical wisdom teeth extractions, and clear aligner therapies.
