Calvert County Government is seeking an organized, dependable, and professional individual to join the Office of the County Administrator’s team. This position will help prepare agendas, meeting packets, and materials for the Commissioners; support public hearings, public comments, meetings, minutes, and official records; and track assignments and follow-up items.

The ideal candidate will have strong communication and customer service skills and work effectively with elected officials, County staff, and the public. This position requires accuracy, confidentiality, flexibility, and the ability to assist with evening and after-hours meetings, as needed.

Performs advanced administrative, legislative, meeting coordination, and records management work in support of the Board of County Commissioners and the Clerk to the Board of County Commissioners. Serves as primary backup support to the Clerk and assists in coordinating Board meetings, legislative actions, official records, ceremonial activities, schedules, and administrative processes. Work requires considerable independent judgment, discretion, organization, confidentiality, and coordination with elected officials, County staff, outside organizations, and the public.

Essential Job Functions

Assists with preparing, reviewing, and coordinating Board of County Commissioners meeting agendas, supporting documents, attachments, and agenda packets for regular, special, and closed-session meetings. Coordinates Board calendars, Commissioner schedules, meeting requests, room reservations, and meeting logistics.

Coordinates proclamations, citations, certificates, ribbon cuttings, groundbreakings, invocations, and other ceremonial activities with appropriate County departments and outside participants.

Assists with preparing, editing, maintaining, and distributing meeting minutes, official correspondence, legislative files, resolutions, ordinances, agreements, and other official Board records. Administers applicable records-retention procedures and maintains associated records and files.

Coordinates Commissioner registrations, travel arrangements, lodging, itineraries, briefing materials, and attendance at conferences, training, meetings, and community events.

Prepares requisitions, purchase requests, expense reports, and related budget documentation. Maintains Board webpages, meeting archives, standard operating procedures, forms, templates, and administrative manuals.

Coordinates meeting-room arrangements, audiovisual requirements, refreshments, working lunches, and related support.

Performs work independently within established policies and procedures and refers matters involving policy decisions, contracts, expenditures, or official Board action to appropriate higher authority.

Operates a County vehicle or personal vehicle, as authorized, to travel to meetings, pick up meals or refreshments, and perform other work-related errands during the workday.

Knowledge, Skills, and Abilities (These are pre-employment KSA that apply only to Essential Job Functions.)

Knowledge of --

  • Advanced administrative and executive-office practices; governmental meeting and records-management procedures; records-retention requirements; agenda and document-management practices; and methods for preparing official correspondence, agendas, minutes, and legislative records.

  • Electronic office and document-management applications and procedures, including Microsoft Office, agenda-management software, SharePoint, and electronic document-management systems, and the maintenance, accuracy, confidentiality, and safeguarding of official governmental records and information.

Ability to --

  • Prepare accurate agendas, minutes, correspondence and other official materials.

  • Organize multiple assignments and meet strict deadlines.

  • Safeguard confidential and sensitive information.

  • Exercise independent judgment within established policies and procedures.

  • Coordinate effectively with elected officials, senior management, county departments, community organizations, media representatives, vendors and members of the public.

  • Communicate effectively orally and in writing.

Required Qualifications (Note: Any acceptable combination of education, training and relevant experience that provides the above knowledge, abilities and skills may be substituted on a full-time year for year basis.)

Training and/or Education:

High school diploma or GED equivalent, including or supplemented by courses in office practices.

Experience:

Five years of progressively responsible administrative experience, preferably involving local government, executive administration or records management or closely related work.

Licenses or Certificates:

Valid driver's license.

Special Requirements:

Operation of County owned vehicle.

Background investigation required.

Physical Demands:

Operation of keyboard devices.

Unusual Demands:

Work is subject to deadlines and frequent interruptions.

May be required to attend evening meetings.

FLSA Status:

Nonexempt

Compensation Steps:

Pay rate: $33.05 - $35.37 per hour; $60,151 - $64,373 annually

Grade 722, full-time position, 35 hours per week
