Position Purpose
The Vendor Incentives Coordinator supports the daily administration of vendor incentive and Event Wallet. This hourly role is primarily responsible for high-volume data entry, credit and program entry, report updates, and exception processing to ensure accurate and timely vendor credits. The coordinator plays a key role in maintaining data integrity and supporting the Vendor Incentives team’s operational efficiency.
Key Responsibilities
- Perform high-volume daily credit and program entries with a strong focus on accuracy and timeliness.
- Process and review exception reports, identifying discrepancies and escalating as appropriate.
- Assist Analysts with Event Wallet updates and supporting documentation.
- Maintain and organize the team inbox, ensuring inquiries are routed and responded to promptly.
- Update and edit Event Wallet reports and spreadsheets to ensure accurate vendor submissions.
- Utilize Excel and internal systems (e.g., Outsystems, Power BI) to update reports and track entries.
- Maintain detailed documentation to support reconciliations and audit requirements.
- Follow established procedures and internal controls to ensure compliance and accuracy.
- Support continuous process improvement efforts within the department.
Reporting Structure
This position reports to the Director of Operational Accounting and has no direct reports. The role supports Analysts and Supervisors in executing daily operational tasks related to vendor incentive processing.
Travel Requirements
Minimal travel required (up to 5%, as needed).
Physical Requirements
This role primarily involves standard office activities, including prolonged sitting and extensive computer use. Frequent keyboarding and repetitive hand movements are required to perform high-volume data entry. The ability to communicate effectively via phone and email is necessary.

Minimum Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- 1+ year of experience in data entry, accounting support, rebate administration, or related administrative role.
- Strong proficiency in Microsoft Excel.
- Demonstrated ability to perform accurate, high-volume data entry.
- Strong attention to detail and organizational skills.
- Ability to follow defined processes and meet deadlines.
- Effective written and verbal communication skills.
Preferred Qualifications
- Experience in vendor incentives, rebates, or invoice verification processes.
- Familiarity with reporting tools such as Power BI or ODS.
- Exposure to financial systems or accounting support functions.
